Overview The Events Manager is responsible for the end-to-end planning, execution, and continuous improvement of BioPhorum events, with the core objective of making excellent events easy. Acting as a strategic project manager, they will ensure all events are delivered seamlessly on budget, and in alignment with business objectives. This role requires strong stakeholder management, financial oversight, and a commitment to enhancing event experiences through innovation and efficiency. Main Responsibilities Strategic Planning & Budget Management • Partner with the Business Operations Manager to manage and optimise the Events budget, ensuring cost-effective decision-making and financial transparency. • Develop and track event cost assumptions, providing regular forecasts and recommendations for budget efficiency. • Maintain a centralised events calendar, ensuring seamless scheduling, alignment with strategic priorities, and effective resource allocation. Project Management & Event Execution • Lead the planning and execution of BioPhorum events, applying a structured project management approach to ensure smooth delivery. • Oversee venue sourcing, contract negotiations, supplier management, and logistics, ensuring high standards and cost efficiency. • Manage remote event coordination, ensuring seamless execution without on-site oversight where necessary. • Manage relationships with overseas suppliers, ensuring clear communication, efficient coordination, and adherence to quality and budget expectations. • Ensure all event materials align with BioPhorum branding and standards, collaborating with Marketing and internal teams. • Proactively identify and mitigate risks, resolving issues swiftly to maintain event quality and stakeholder satisfaction. Stakeholder Engagement & Expectation Management • Serve as the primary liaison for event owners, setting clear expectations, managing communications, and ensuring alignment with business goals. • Guide stakeholders through the event planning process, ensuring understanding of lead times, requirements, and budget constraints. • Foster strong relationships with Phorum Directors and internal teams, ensuring collaboration and a customer-focused approach to event delivery. Process Optimisation & Continuous Improvement • Identify and implement process improvements to enhance efficiency, event quality, and overall experience. • Stay informed on industry trends and emerging technologies, recommending innovations to enhance event delivery. • Maintain and refine event management documentation, ensuring clear processes and providing training to internal teams. • Conduct post-event evaluations, capturing feedback and embedding learnings into future planning. • Train new joiners on in-house event management processes and the use of Dynamics, ensuring they are equipped with the knowledge and tools to manage events effectively. Knowledge, skills and abilities • Experienced Event Professional – Proven track record in planning and delivering F2F, virtual, and hybrid events with exceptional attention to detail. • Project Management & Budgeting Expertise – Skilled in managing multiple events simultaneously, meeting tight deadlines without compromising quality. Strong financial acumen, ensuring budget efficiency and transparency. • Stakeholder Engagement & Communication – Adept at managing relationships across all levels, setting and meeting expectations on costs, timelines, and support. Strong written and verbal communication skills, keeping event owners informed throughout. • Process & Systems Proficiency – Highly organised, with excellent administrative skills, regularly updating platforms and documentation. Comfortable presenting and delivering training on event management processes. • Supplier & Vendor Management – Experienced in negotiating with and managing external agencies and suppliers to ensure seamless event execution. • Systems Proficient & Detail-Oriented – Highly competent in MS Office (advanced level) and event management platforms, with strong attention to accuracy and organisation. Excellent written and spoken English, adapting communication style to different audiences.
