THE ROLE Support the Property & Technical Services Managers in delivering all aspects of operational property management. Act as a deputy to the Property Manager, providing comprehensive administrative, clerical, and secretarial support to the property management and Technical Services teams. Contribute to maintaining a safe and secure environment for all building users. Assist in fostering strong client relationships with occupiers, ensuring clear and open communication on building-related matters. Help maintain up-to-date compliance records for all Property Management operational processes and procedures. Assist in obtaining cost estimates and relevant data to aid in the preparation and management of the building service charge budget. Support the implementation and enforcement of health & safety policies, emergency procedures, and safe working practices in line with current legislation. Take control and execute emergency response plans in the absence of the Property Manager. Conduct regular inspections of completed work, service contracts, and all areas of the premises to ensure quality and compliance. Manage administrative tasks and routine correspondence to ensure the smooth operation of the building management office. Assist in preparing and managing service specifications, contracts, and associated documentation to align with company standards. Oversee the tracking and processing of service invoices and contribute to the production of management accounts. Manage and review helpdesk and permit requests, ensuring prompt and efficient responses. Take ownership of the company’s vision and values, ensuring they are embedded in all aspects of building management services.
