The Legal Secretary will be responsible for supporting solicitors by performing a variety of administrative duties, including drafting legal correspondence, answering telephones, greeting visitors, and communicating with solicitors, clients, and court personnel.
Duties
1. Transcribe and proofread legal documents
2. Type legal documents
3. Prepare court forms
4. File, organise, scan legal documents
5. Keep records up to date using Practice Management System
6. Filing documents on files where necessary
7. Preparation of Court Bundles
8. Schedule court depositions, hearings and other meetings
9. Make travel arrangements for solicitors
10. File documents with the court ahead of deadlines
11. Arrange appointments for Clients
12. Assist Fee Earners with compliance of files
13. Answer telephone
14. Assist in drafting and preparing legal documents, forms, and bundles
15. Prepare post to be sent
16. Scan post to system and send to Fee Earners
Qualifications & Training
1. OCR Higher Diploma in Administrative and Secretarial Procedures or equivalent (e.g., Degree).
2. Legal Secretaries Diploma run by the Institute of Legal Secretaries and PAs (ILSPA)
3. City & Guilds/Cilex Level 3 Certificate for Legal Secretaries
4. 3 A Levels

1. Communication skills: You will be working with a wide range of people, from barristers and solicitors to their clients, so the ability to communicate well and in a professional manner is essential.
2. Written communication skills: excellent spelling and grammar. A high level of written English.
3. Attention to detail: high level of accuracy when preparing legal documents or filling out forms and statements.
4. Organisational skills: These are important for managing lawyers’ diaries and your own work schedule.
5. IT skills: Most work is carried out electronically.
6. Teamwork: Able to work with clients, lawyers, and other legal secretaries.
7. Strong sense of discretion.
8. Courteous and professional demeanour.
Knowledge
1. Legal terminology, regulations and court system.
2. MS Office and ability to work with legal technology (court-filing computer systems, transcription software, Dictaphone, etc.).
