Calibration Admin Job ID 180095 Posted 12-Aug-2024 Service line GWS Segment Role type Full-time Areas of Interest Administrative Location(s) Salisbury - England - United Kingdom of Great Britain and Northern Ireland Purpose: The Calibration Administrator will provide administration to the calibration team, receipting equipment requiring calibration and ensure all paperwork is correct and generating work orders prior to organising calibration. The post holder will ensure calibration is carried out to the correct standard and all results from certification are recorded on the computer management system. A successful candidate will maintain the Calibration Document Library effectively and reports to GxP standards in accordance with site guidelines. Principal Accountabilities: ? Maintain Calibration Document Library on a day-to-day basis, including document retrieval, withdrawal and returns ? Maintain an effective filing system and develop reports to effectively measure and keep track of progress monitoring performance and routine activities of all tasked projects and investigations. Ensure routine and requested reports are completed in a timely manner. ? Input data from calibration documentation in the Computerised Maintenance Management System (CMMS) in a timely manner ? Implement and maintain GXP compliant documentation systems ? Maintain and update calibration procedures ensuring all updates are logged. ? Ensure that equipment is sent off site for calibration in a timely manner ? Raise Purchase orders for external contractors ? Liaise with calibration sub-contractors with respect to specifications, quotations, method statements, work programmes, and safety. ? Locating assets - whether on site, in stores or awaiting delivery. Qualifications and Experience: Knowledge and Skill Requirements: ? Ability to liaise and supervise contractors. ? Document preparation and operation of planned maintenance documentation. JD - Calibration Administrator 20/08/2021 ? Knowledge of key operational procedures e.g. time sheets, planned maintenance systems, Quality and Health & Safety. ? Ability to interact professionally with a diverse group, executives, managers and subject matter experts. ? Demonstrable skills in dealing and working closely with internal and external customers and suppliers on complex and interrelated issues on an ongoing basis. ? Must be able to use initiative to decide relevant actions and make recommendations to Sponsor/ Manager, with the aim of improving deliverables and compliance to policies. ? Willing to engage with and learn from peers, other professionals and colleagues in the desire to provide or support the most appropriate interventions. Measurement of Position Performance: The Contractor Coordinator is measured in performance of duties and execution of assigned responsibilities by: - Orderly placement of specification, quotations and method statements and their completion by due date. - Accurate and timely input of data from the calibration documentation into the Computerised Maintenance Management System (CMMS). - Accurate recordings of the Calibration Document Library Personal Experience / Qualification and skills: ? Proven and extensive experience within a similar role. ? Knowledge of Word & Excel spreadsheets and their implementation with overall good IT skills. ? Excellent administrative, report writing, project control, communication and organisational skills. ? Knowledge of key operational procedures e.g. time sheets, planned maintenance systems, Quality and Health & Safety.
