Band 3 Administrator (22.5 hrs per week)
There is an exciting opportunity for a band 3 administrator to join the Health & Safety Team, working in the role of Health & Safety Training Co-ordinator which is a new role.
The role will encompass:
1. Booking Colleagues on to Health & Safety Training
2. Sending out candidate joining instructions
3. Updating candidates training records on ESR
4. Maintaining a database/dashboard of training compliance to include training refresher dates
5. Alerting candidates to book on to refresher training
6. Providing update reports on course candidate numbers for each different course
7. Alerting managers to candidates who did not attend
8. Liaising with the external health & safety training provider for course dates
9. Monitoring the client-facing training portal for training alerts and candidate certificates
10. Emailing out candidate certificates
11. Advertising course dates via email and by the Health & Safety Training Page on SharePoint
12. Maintaining and updating Health & Safety Training Page on SharePoint

Main duties of the job
To oversee all the training administration functions to ensure that provision of health & safety training Trust wide is efficiently and effectively managed to include:
1. Working with the external training provider to ensure that candidates are booked on to the correct course/course dates.
2. Monitoring the training provider training dashboard, and responding to prompts accordingly (issue certificates, book candidate refresher training, report on did not attends, etc.).
3. Responding to college queries regarding health & safety training.
4. Booking candidates onto courses/managing cancellations.
5. Ensuring candidates receive all the relevant joining instructions they require.
6. Updating ESR with candidate training records.
7. Tracking numbers of staff trained per course and preparing update reports on training statistics as required.

Job responsibilities
1. Monitor the Health & Safety training inbox and respond accordingly to all queries relating to health & safety training.
2. Monitor the external training providers Trust Training Compliance Dashboard and respond to prompts accordingly (issue candidate certificates, record and report on did not attends, communicate refresher training requirements to managers & candidates, and book candidates on to refresher training accordingly).
3. Ensure candidates receive all required joining instructions to ensure they know what date their course is, where it is being held, how to get there, what materials they need to take and what the arrangements are for parking, and refreshments/lunch (if applicable).
4. Update candidates training records on ESR.
5. Notify candidates' managers of any instances of did not attend.
6. Maintain a register of training detailing which candidates have attended which course, with dates of completing and required renewal dates.
7. Maintain a local training dashboard to include training compliance figures for each specific course.
Person Specification
Knowledge and Experience
* Demonstrable experience in a similar role
* Significant demonstrable experience of using Microsoft Office applications
* Demonstrable experience of working to deadlines and prioritising workload
Qualifications
* Educated to NVQ Level 3 or equivalent demonstrable experience
* Computer Literacy & Information Technology (CLAIT) or equivalent, including use of Microsoft Outlook, Word, Excel, Access and Internet Explorer

Salary: £24,071 to £25,674 a year Per Annum Pro Rata
