Office Manager Full Time & Office Based (Wardle, Cheshire CW5) Salary up to £35k (negotiable depending on experience) 33 days holiday, Contributory Pension, Private Healthcare Established in Wardle England, Martin Renewables Solutions Ltd (MRS) is a wholly owned subsidiary of Martin GmbH Germany. Martin services the energy-from-waste (EfW) industry by providing engineering, design, consulting, planning and general contracting services. In addition, it offers products for boiler systems as well as flue gas treatment (LAB), plant modernization, equipment overhaul, repair and maintenance services. Martin has been serving the UK market for over 40 years and its recently established subsidiary MRS will expand its support with its local presence. An exciting opportunity to be an integral part of the team, the Office Manager will be primarily responsible for MRSs daily bookkeeping and accounting activities as well as for front office administrative support to our Sales, Technical Service and Warehouse Operations staff. General Bookkeeping and Accounting Responsibilities Executes accounting/bookkeeping/bank reconciliations duties using SAP Business One software and interfacing with MRSs external accountants Supporting external accountants with monthly transmittals of receipts and documents Preparing and posting journal entries (sales, purchasing, payments and receipt, payroll posting etc) Compiling financial data for external accountants Filing and remitting sales taxes and other financial obligations Reviewing and issuing purchase orders and invoices for accuracy and completeness Checking incoming and outgoing payments for accuracy Managing Accounts Payable and Receivable Preparation of VAT returns Invoicing MRSs customers and monitor payments accuracy Processing employee expenditures Supports the operational business with issuing purchase orders or order confirmations Compiling reports on sales, expenditure, marketing and other accounting activity for senior management Additional responsibilities include but are not limited to: Oversee the induction of new staff on site (whether permanent or temporary/agency) Maintaining general office records and files Working closely with staff to ensure office and warehouse efficiency Acts as liaison with MRSs Headquarters (Martin GmbH) as well as vendors, including IT, payroll, HR benefits, and equipment services Manage the UK visa sponsorship license and sponsorship management system Provides administrative support to staff in the parts quotation/order processes Oversees the upkeep of the office facilities and equipment. Coordinates travel arrangements Coordinates company meetings and events Managing incoming post and ensuring that queries are allocated to the correct department Supporting management with customized reports. Preparing A/R statements, help customers with account inquiries, maintain a customer database Working with vendors to resolve disputes or discrepancies Communicating with the corporate home office support personnel located in Munich Germany Control of Payroll accuracy (overtime, bonuses, sick leave etc) Manage office staff training records Manage office safety and insurance inspections Team Worker, must be able to work in a small team to achieve goals Person Specifications & Qualifications Education: Bachelors or Associate degree preferred. As a minimum, a High School diploma is required with a minimum of 5 years of administrative experience Experience of day-to-day business accounting tasks AAT qualification would be advantageous but not essential Must have proficient computer skills including Microsoft Office Suite SAP Business One experience would be advantageous Must have strong written and oral communication skills Fluent in German advantageous High level of discretion and confidentiality Must have a positive attitude and strong interpersonal skills Strong desire for continued growth and learning Strong mathematical and analytical skills Proven ability to handle multiple projects simultaneously Ability to read and analyze financial reports Attention to detail and follow-up skills are critical Experience in international billing is advantageous This is a broad role for an enthusiastic individual with a willingness to develop and grow with the business.
