The Administrative Assistant is a vital member of the Marriott International, Inc. team. This individual will provide administrative support to the senior leadership team and perform a variety of tasks to ensure the smooth and efficient operation of the office.
Key Responsibilities:
- Manage the calendar of the senior leadership team, scheduling meetings and appointments, and coordinating travel arrangements
- Answer and screen phone calls, take messages, and respond to inquiries in a professional and timely manner
- Prepare and edit reports, presentations, and other documents as requested by the senior leadership team
- Organize and maintain files, both electronic and physical, ensuring all documents are easily accessible and confidential information is handled with discretion
- Process expense reports and invoices, and assist with budget tracking and management
- Coordinate and set up conference calls, webinars, and meetings, including arranging for catering if needed
- Greet and welcome guests, ensuring a positive and professional experience upon arrival
- Handle incoming and outgoing mail, including distributing to the appropriate parties and preparing packages for shipping
- Handle general office duties such as ordering supplies, maintaining office equipment, and overseeing office cleanliness
- Assist with special projects and events as needed
Qualifications:
- High school diploma or equivalent required, college degree preferred
- 2 years of administrative or executive assistant experience
- Proficient in Microsoft Office Suite, with advanced skills in Microsoft Excel and PowerPoint
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to prioritize and handle multiple tasks in a fast-paced environment
- Proactive and able to work independently, taking initiative to anticipate needs and provide solutions
- Ability to handle sensitive information with confidentiality and discretion
- Previous experience in the hospitality industry is a plus
- Must be able to work a flexible schedule, including evenings and weekends, as needed
