We are looking for an energetic individual to join a busy team specializing in the purchase and sale of farms, estates, and rural properties, based in the York Office. This is a rewarding role for a team player; ideal for someone who enjoys delivering first-class client service.
Key Responsibilities
1. Maintain and update REAPIT software to ensure accurate record keeping of instructions, internet listings, and buyer databases. Training will be given.
2. Work as a team gathering information, creating data rooms, and analyzing documentation as part of bringing rural properties to the market.
3. Responsibility for managing and maintaining agency compliance and maintaining compliance procedures to audit standards.
4. Preparation of pitch documentation and reports using both Word, Adobe, and PowerPoint; some creative writing may be required and attention to detail is key.
5. Provide support to the Rural Agency Head and assist the wider team.
6. Manage and book travel arrangements where required.
7. Typing and proofreading of documents.
8. Raising Purchase Orders and processing supplier invoices.
9. Invoicing including disbursement recovery and fees.
10. Proactively reviewing debtors and disbursements.
11. Liaising with vendors, purchasers, and contractors.
12. Answering the telephone and assisting with queries where possible, and/or taking accurate messages.
Key Skills
1. Previous administration experience is preferred, but not essential.
2. Strong communication skills (both verbal and written).
3. Highly organized, flexible, and able to clearly prioritize duties and meet deadlines.
4. Ability to work under pressure.
5. Proficient in the use of Microsoft Excel, Word, Outlook, and PowerPoint with the ability to pick up new software quickly.
6. Strong typing skills, including audio dictation (not essential), to produce accurate documentation to deadlines.
7. Maintain accurate and up-to-date filing and contact lists.
8. Answer the telephone in a professional manner and redirect or take a message efficiently and accurately.
9. Communicate effectively with clients.
10. Agricultural and rural knowledge is advantageous, but not essential.
Team Overview
The successful candidate will be joining the York Rural Agency team, which extends to 4 members within the York office and 3 located in other Northern offices. The wider York team extends to around 35 individuals across various disciplines which include Estate Management, Rural Professional, Food and Farming, and Architecture & Building Surveying. In addition, the office has a Residential Agency team dealing with properties across Yorkshire, with whom we work closely.
