In this new and challenging position, you will be exposed to a successful, dynamic, and fast-growing Private Equity backed global logistics company operating within the Fine Art and High Value sector.
Currently operating from sites in London, New York, Los Angeles, Miami, Chicago, San Francisco, and Paris, Cadogan Tate is targeting significant growth both organically and via M&A and is looking to deliver consistent standards of safety and quality as it expands its operations.
The Compliance / SHEQ Technical Administrator role will assist with the administration requirements of the SHEQ department, to include overseeing Compliance / SHEQ & Facilities calendars, registers & statutory inspection trackers.
Orchestrating appointments & documentation for contractor statutory inspections & maintenance, liaising with all sites to ensure calendars, appointments and action trackers remain current.
Organising, updating, uploading, and archiving of SHEQ & Facilities documentation as required.
Assist with meetings, minutes, and presentations. (Sometimes these may be outside of normal operating hours to assist with UK/ USA time zones via Teams)
Interfacing with site management teams and contractors

Key Responsibilities
· Monitor group waste and utility provider sites to retrieve waste / utility readings for updating on the Environment utility calculator.
· Liaise with transport operations teams at all sites to obtain vehicle mileage / fuel usage for updating on the Environment utility calculator. (Or via direct access to telematics software)
· Ensure group accident investigation document copies are filed, outcomes / actions are added to the SHEQ action tracker and followed up regularly to obtain evidence of completion.
· Assist with obtaining and collating weekly accident responses from all sites and updating the accident stats log.
· Managing SHEQ documentation and updates in line with legal compliance / SHEQ trackers / Calendars / co- ordinating / prioritising
· Monitoring and management of the statutory inspections log, communication with sites to advise of upcoming statutory inspections, obtain latest statutory records for upload and filing, ensuring sites have arrangements in place for the inspections before they become overdue.
· Assist with creation and updating of management reports or presentation packs.
· Reviewing Take 5 inspections and allocating extracted actions to relevant action tracker for follow up. Communicate to site and follow up to closure.
· Maintain the document control register for the SHEQ Management system.
· Assist with the preparation for upcoming external audits across all sites.
· System filing and archiving.
· Provide coverage at meetings during periods of unavailability
· Maintain accurate compliance records in line with legal compliance.
· Contractor control – Manage the facilities calendars, managing all new entries for scheduled contractor visits, obtaining new contractor details for the contractor control register, obtain RAMS and completed PTW’s for filing on the system. Co – ordinating with sites for any contractor visits.
· Communicating with contractor companies and other utility providers as required.
· Identifying / Resourcing of new contractors as required.
· Meeting minute taker as required for SHEQ meetings & investigations.
Skills, Knowledge and Expertise
- Good administration / organisational skills & IT/ PC Literate (Microsoft Office/ SharePoint etc.) (Requirement)
- SHEQ knowledge, experience, or awareness (Desirable)
- Training will be given for basic IOSH/ NEBOSH / OSHA level 3 Health and Safety
- Full UK Driving licence (Desirable)
