Description/Job Summary The Real Estate Finance London (REF) Partners and Lawyers are at the forefront of legal technology enabling them to deliver their services more efficiently and effectively. This has generated both new work streams and the adaptation of traditional ways of working to incorporate this significantly increased use of technology. This role, based in the REF Legal Technology part of the REF team will provide crucial support to REF lawyers and their clients in tracking automated precedent and client matter workflow updates. The role with focus primarily on assistance with the tracking, communication and organisation of multiple weekly queries and responses from the Partners and lawyers as well as supporting the team as they drive forward continuous improvement and interact with external vendors on software roadmaps. Responsibilities/Duties Provide a first level response to REF lawyers’ automated precedent drafting and other legal tech queries/emails, providing clear timelines for resolution of queries as directed by the Legal Technologists Regularly check the team’s email and log all legal technology work requests in relevant project management software Support REFTech to produce daily and weekly REFTech update summaries and reports for distribution to Partners, With Legal Technologists’ supervision, assist updating lawyers in all REF functions on progress Prepare weekly summaries of progress Minute meetings and coordinate meeting agendas Assist Legal Technologists with management and tracking of the work Help format documents in house style, building skills in MS Word for law firms Update REFTech manuals and wikis Provide administrative support for legal technology development projects for example by assisting/minuting the gathering requirements stage With team support, test outputs and complete simple tech tasks for REFTech and REF lawyers (gaining in responsibility over time) Provide administrative support for the delivery of legal technology training to REF lawyers, providing direct training, where appropriate Design slides, PowerPoints and presentations as required Keep an accurate work log in project management software as necessary Perform other duties as directed Required Skills Diplomatic with excellent customer care skills Able to work well under pressure Knowledge and experience of all aspects of Microsoft Office with the ability and motivation to develop to higher intermediate/advanced skills in MS 365 Good analytical problem-solving skills and an understanding of computational thinking Computer-literate with the ability and motivation to learn new software programmes, including working at a basic level with automation and AI Intermediate Word Document layout and formatting skills, and the willingness and motivation to get up to speed on industry specific Word skills (Payne numbering, automated cross referencing etc) Organised, motivated and independent individual with a flexible and proactive approach Strong attention to detail Able to interact effectively with diverse colleagues including Partners, Vendors, Associates, Paralegals, Document Specialists, Secretarial Team and Technology Specialists both in the UK and the US.
