Working hours: 36 hours per week. Includes working Saturdays or Sundays at The Glasshouse during term time alongside flexible
working arrangements

Part of the Make Music Young People’s Programme, the Weekend School is a music school like no other, including our Centre for
Advanced Training, Ensembles and Foundation and Step Up programmes.
As Weekend School Manager you will be working with Make Music’s Senior Producer to create exciting, high quality and inclusive
activities for children and young people, both within The Glasshouse ICM and at external venues across the region.
You’ll be one of a small team of managers who each look after an area of Make Music.
* Make Music Managers support teams of programmers, coordinators, musicians and tutors to produce high quality, inclusive music
learning programmes for people of all ages. They develop, manage and control the operating model, including budgets, activity
plans, monitoring and evaluation, use of spaces, resources, and deadlines, to support activities, performances, and events at
The Glasshouse ICM and in the North East.
* Make Music Managers collaborate with teams across the organisation to support the integration of artistic programmes and
develop positive, respectful working relationships with teams, young people, music leaders, parents, carers, and partner
organisations to support wellbeing and creativity.
Skills and knowledge of:
* Programme management to a high level, including:
* Scheduling and contracting
* programme planning
* systems management
* Monitoring and evaluating projects
* Safeguarding and child protection policies and protocols
* High quality written and oral communication, including report and copy writing
* Communicating with people from a wide range of backgrounds
* Microsoft Word, Excel and PowerPoint, all to a high level
* Music education and advanced music training
* Musical inclusion and the social outcomes of music learning
* Orchestral music and a broad range of musical genres
* Managing your own workload, working on your own initiative and as part of a team
It also helps if you have:
* Experience of junior conservatoire or other structured music education provision
* Experience of a performing arts organisation
* At least three years’ experience of managing creative learning/music education activity
* Experience of detailed timetabling and scheduling
* Working with students and musicians in educational settings
* An understanding of orchestral instruments
* Database management experience, especially Tessitura and Artifax
You’ll be responsible for:
Strategy and plans
* Keep up to date with The Glasshouse ICM strategy, policies and plans
* Maintain up to date knowledge of the needs of young people in the North-East, alongside understanding barriers (to feed into
relevant plans, e.g., artistic plan)
* Develop activity plans so that programme objectives, outcomes and targets are met
* Engage with regional and national networks (e.g., Music Mark events; Association of British Orchestras Education; CAT network;
CLA; Music Education Council events; conferences) as directed
Relationship Management
* Liaise with partners and contractors to plan and manage programmes of work, including recruitment, communications, management
and review
* Administrate networks and advisory group meetings where required, organising meetings, rooms, resources and circulate agendas
and minutes
Evaluation and reporting
* Design, implement and manage systems for programme review and evaluation
* Manage stakeholder consultation (including young people) to involve them in programme design and review to make sure programmes
meet a range of different needs, interests and contexts
* Monitor and manage progress and performance against programme plans and targets (setting/reviewing targets, KPI metrics, sales/
recruitment)
* Produce and/or contribute to reports as required, including copywriting
* Support the evaluation of the performance of SLAs, contracts and grant agreements.
Programme (Artistic)
* Through feeding into the artistic plan, support the development of high-quality music learning activities, events and
performances
* Compile, implement and manage artistic plans
* Compile, produce and manage curricula documents, learning and activity resources
* Work with colleagues to remove barriers to engagement
* Develop relevant proposals as agreed by the Head of Make Music and Senior Producer
* Take initiative as delegated in implementing new ideas
* Manage the set-up and implementation of large scale projects and events
* Attend residentials, performances and events where required
Programme (operational)
* Implement activity plans and manage planned changes to the programme, including tasks and timelines
* Work with Senior Managers and other colleagues to develop and manage the programme operating framework (for music learning
activities, performances and events):
* Administrate SLAs and contracts, including liaising with external organisations
* Control staff adherence to budgets, objectives, activity plans, milestone deadlines and KPIs
* Model a responsible approach to attending meetings and meeting deadlines as required
* Liaise with Box Office, Tech, Facilities, F&B and other relevant teams in the planning and production of the programme and
all associated performances and events (e.g. space management, deadlines)
* Develop, manage and implement systems and processes for effective programme management (GANTT charts, meeting cycles, software
e.g. Artifax, Exchequer, Tessitura) to achieve agreed outputs and meet deadlines:
* Book spaces via Artifax, adhering to the programme pattern, attend the Diary Managers meeting where required
* Schedule set ups, on-sale dates and advancing to produce performance and events
* Attend or delegate attendance at Daily and Weekly Ops meetings as a general representative for Make Music should operational
issues arise and feed information back to teams where necessary
* Manage the use of spaces including the Foyle Music Centre and Halls, making sure use of spaces aligns with the programme
pattern and programme plans
* Administrate meeting cycles to support clear internal communications between programme and teams
* Manage effective use of programme resources (e.g., learning materials, guidance, session plans, instruments) and manage
maintenance of instruments and equipment
* Monitor the needs and upkeep of the Foyle Music Centre for Make Music.
* Manage data and information storage, including secure storage of confidential information in line with GDPR requirements
Finance
* Create, manage, monitor and report on working budgets:
* Compile budget sheets, annual budget templates and budget phasing
* Meet deadlines and provide monthly feedback on reforecasting for the current year
* Attend monthly finance meetings and update budget monitoring sheet based on spending reports and known income and expenditure
* Respond to requests for finance information and meet deadlines as required
* Hold responsibility for meeting agreed financial targets
* Provide information for the Fundraising team to make sure company fundraising targets are met
* Manage bursaries, pricing and charging so that financial targets are met and barriers to engagement are removed
* Track and chase monies owed resulting from programmes and liaise with Finance
People
* Lead and motivate Coordinators and Programme Assistant and other team members as required to produce high quality, inclusive
music learning programmes by providing support and giving feedback
* Provide clear, structured line and task management for Coordinators and Programme Assistant by setting objectives, clarifying
expectations, sharing information, monitoring and managing performance:
* Task and performance management
* Inform Senior Managers of any HR issues or challenges
* Lead regular one to one meetings and reviews
* Manage the pastoral care team
* Manage all systems and processes related to the recruitment, contracting and management of the team (e.g. induction plans,
contract adjustments, new starter forms, DBS, absences and leave, communicating HR policy and procedure)
* Create all schedules of work and confirmation of work emails for Musicians and Tutors
* Issue SLAs for freelance musicians and tutors
* Submit monthly payroll information for musicians and tutors
* Issue notices or work with the People team to agree and support redundancy processes
* Support the People team and ICT team with specific enquires relating to members of the musician and tutor team across all
programmes. E.g. laptop and equipment requirements
Marketing and Communications
* Work with colleagues in Marketing and External Relations to support effective programme marketing and communications so that
recruitment and sales targets are met
Health and Safety
* Develop, update and share comprehensive set of risk assessments for all programme activity
* Create safeguarding plans and risk assessments for the programme, performances, events and activities
* Be a Designated Safeguarding Officer and work with Designated Safeguarding Officers to implement safeguarding policies and
procedures to maintain high standards of safeguarding and pastoral care of children and adults at risk
