Business Support Administrator - Multi Agency Safeguarding Hub (MASH)

An exciting opportunity has arisen within Hampshire and Isle of Wight Healthcare NHS Foundation Trust to appoint a motivated and enthusiastic Business Support Administrator to join the Safeguarding Children Team. The post holders will join our dynamic Safeguarding Children Team, contributing to the delivery of the Safeguarding Agenda in the Hampshire Multi-Agency Safeguarding Hub (MASH). The post holders will work within the health team as part of a multi-agency integrated team, assessing notifications and referrals regarding children aged 0-19 that are received by the MASH. The MASH process includes searching for children and adults health records from a range of NHS providers, both locally and further afield. With due regard to patient confidentiality, the MASH Administrator will support the Safeguarding Practitioners who will interpret and share the information that is necessary to safeguard and/or promote the welfare of a child.
The post holder will be based in the Multi-Agency Safeguarding Hub (MASH) Fareham, Hampshire, PO16 7JL.
Main duties of the job
1. Supporting in the delivery of the 'Multi-Agency Safeguarding Hub (MASH) Think Family Specification - Children's and Adult's MASH and High-Risk Domestic Abuse (HRDA) agenda.
2. Providing administrative support to the clinical health MASH staff including taking minutes, reviewing agendas and arranging relevant meetings.
3. To transfer information from Hampshire County Council (HCC) IT records and create referrals on Hampshire and Isle of Wight Healthcare NHS Foundation Trust (HIOWH) IT records for cases where there are safeguarding concerns for children and adults within set timescales.
4. To navigate HIOWH, HCC IT systems and the NHS National Spine to provide accurate, patient identifiable information to partner agencies including Hampshire Police and HCC.
5. To use and maintain varied Trust IT facilities, office email and diary management; intra/internet facilities and national web-based systems; and on-line video conferencing.
6. To safely and securely transfer sensitive, highly confidential information from MASH to internal and external agencies and partners via electronic systems.
7. To manage incoming and out-going correspondence/emails from internal and external agencies and partners, noting importance and urgency for prioritisation and escalate to clinical staff as necessary.
8. To set up and maintain systems for collection of relevant data as outlined by clinical staff.
9. Undertake any other duties (e.g., annual leave cover) commensurate with the role as agreed with the line manager.

Qualifications
* GCSE/O level English and Maths or equivalent
* Knowledge of various software packages
Experience
* Experience of organising own workload
* Experience of office administration
* Understanding of how to apply administrative processes
* Knowledge in the use of video conferencing solutions and other web-based applications
* Knowledge in the use of MS Office; including Word, Excel and Outlook
* Understanding of confidentiality and the Data Protection Act 2018
* Previous experience in working within NHS and/or Children Services Department.
* Knowledge of NHS and Children's Services structures.
* Knowledge of safeguarding children and vulnerable adults.
* Knowledge and experience of using electronic patient records (i.e., RiO/ICS/Mosiac/System One)
