We’re on the search for a Procurement System (P2P) Administrator to join us atour Hemel support centre and share our passion to make one of the UK’smost-loved hospitality brands the best it can possibly be.What are we looking for? The Warner Procurement Team hasthe function of sourcing goods and services for all of Warner’s Hotels atcompetitive prices and in a timely manner. Ensuring smooth operations, our Purchasing System Administrators areresponsible for managing the supplier onboarding process and on-going duediligence of supplier records together with supplier catalogue management andassociated processesWhat will I be doing? • Ensureaccurate record management of our suppliers, new and existing.• Assist indriving compliance by ensuring Procurement Policy, procedure and processes arefollowed.• Manage andcontrol the onboarding process of suppliers through webforms and ad hocrequests via alternate channels (email, phone etc).• Conduct duediligence of supplier master data and provide guidance to Category Managers andsuppliers where required, this includes but is not limited to: identificationchecks, credit worthiness reporting, compliance searches (AML, PEP, Sanctions),health and safety• Retainaccurate file systems of all supplier contracts, insurance documentation,certifications (professional bodies et al.), company financials, Control ofContractors, CRB checks and other associated documents.• Responsiblefor managing supplier master data changes including name, new legal entitystatus and bank details via P2P software, (COUPA ‘I BUY’) and finance system(eRPX)• Technicalsupplier on-boarding assistance, including manual supplier linking to CSP(Coupa Supplier Network); creating ‘Remit To’s’ for finance support; issuinglogins; circulating instructions, Terms & Conditions and User Guides.• SystemTroubleshooting of any errored supplier accounts (creation), email failures,Brand issues, post-upgrade errors, supplier queries etc. Collaborating with ITProduct Teams and Engineers. • Ensureaccurate data management of our supplier core catalogues aligned to orderingschedules. • Instruct onload file formats; coordinate receipt; audit and QC of catalogue mandatoryfields; liaise/advise Category Managers accordingly; timely correctionsapplied; uploading and data validation. • Manualcreation of catalogue questionnaires (where approved/required). • Timelydelisting of supplier aged catalogues, including system QC. • Liaise/coordinate with the Procurement Administrator in respect of catalogueadditions, delists and amendments aligning Starchef, EPOS and ZONAL. • Maintaining up-to-date catalogue history audit documentation for operationalcontinuity. • Freeformrequest management, including documenting requests for reporting; coordinatingCategory Manager approval; manual configuration of supplier settings. • Quarterlysupplier access reporting - assessment and review for deactivation. • Maintainactive Supplier Accounts further to BAU data cleanse activities. • SupplierAccount information updates maintained, coordinating with Accounts Payableaccording to integration schedule. • Collaborate with Supply Chain with respect to implementation/configuration oforder window schedules. • Respond toemail and telephone queries regarding ordering from users and Suppliers • Setup andsupport Coupa and Concur users, including joiners and leaversWhat skills do I need?• Strongorganisational skills, ability to complete tasks unsupervised with no error.• Ability towork to deadlines.• Highattention to detail.• Ability toidentify issues, escalate where appropriate and provide resolution.• Customerfriendly – excellent interpersonal skills.The benefits of working with us22 days holiday with the ability to purchase further holidayallowance through our Holiday Buy SchemeHybrid working via our Warner offices located in HemelHempstead (at least 3 days per week in the office)Enhanced Family Friendly Policies (Eligibility dependent)Financial Well-being support by access earned salary throughWagestream20% Discount to you, family & friends across our BourneLeisure brands Warner Leisure Hotels and Haven Holidays (including furtherdiscounted breaks within Warner for you, your family, and friends to use)Additional earning potential through the Annual Bonus SchemeAccess to fantastic discounts offers with many nationalbrands and retailers through our ‘My Bourne Hub’ pageA fantastic opportunity for career development throughexternal recognised qualifications in addition to in-house training anddevelopment (Degrees and Apprenticeship level)Immediate access to Well-being support through our EAPprovider and team pagesJoining WarnerJoin us and you’ll be part of one great team, creatingsuperb breaks behind-the-scenes.
