Reports to the Dean’s Secretariat Team Leader
Purpose
To work as part of the Secretariat team to support the Faculty of Advocates through its office bearers and Co-CEOs. Specifically concerning the two departmental work streams related to administrative responsibilities in Compliance and Governance.
Main Responsibilities
* Support the Co-CEO and Chair of the Regulatory Compliance Committee in administering the Faculty’s regulatory responsibilities, including attendance with relevant regulatory and representative bodies.
* Administer and co-ordinate processes and procedures related to:
1. Faculty responses to Law Reform Consultations.
2. The Complaints and Disciplinary Rules Process.
3. Policies in relation to Data Protection, Immigration, and Charity Regulations.
4. The Faculty Quality Assurance Programme.
5. The Faculty’s Alternative Dispute Resolution Unit.
6. The Secretariat document management system.
1. Assist in the Governance duties of the Dean’s Secretariat and carry out general office duties, including word processing and the use of IT Systems.
2. Assist in arranging Faculty events, including conferences and receptions.
3. Assist in the administration of the appointment of Faculty Office Bearers and provide administrative assistance to Faculty Committees.
4. Assist the Faculty Data Protection Officer in meeting regulatory responsibilities.
5. Monitor Members’ registration with the Information Commissioner’s Office and send reminders as required.
6. Undertake general administrative duties.
Education/Experience
At least five years’ experience working with the management of confidential data and administrative office skills, with a minimum of two years’ experience in a UK regulated environment being essential. The post holder may have fewer years’ experience, provided they possess the necessary knowledge of UK Financial Regulations, skills, and expertise to perform the role.
Skills:
Excellent communication skills, accurate keyboard skills, team working, ability to work under pressure, motivated, pleasant and enthusiastic attitude, diplomacy, and discretion.
Software:
The post holder should have a working knowledge of all Microsoft 365 packages and video conferencing applications (including Zoom, Webex, and Teams). A good level of computer literacy is therefore required.
Reporting Lines:
This is a highly confidential position, and any breach of confidentiality may result in serious consequences for any individual Member of the Faculty of Advocates. Decisions required in the course of the job are based on established practice and policy, and any decisions outside of established practice should be referred via reporting lines.
While the duties of the post may involve some complexity, the nature of the service provided ensures a varied and interesting workload. Sudden changes of work are common during the working day, as is the occasional need to work under pressure. The post holder will be expected to show initiative and propose ideas and solutions.
The Secretariat Compliance Officer’s reporting line is to the Secretariat Executive Team Leader on a regular basis.
