This is a Fixed Term Contract post, anticipated start date 1st April 2025 for 12 months, working 35 hours per week Monday to Friday. Edinburgh Area.
Main Responsibilities
You’ll be the Administrative Assistant working at the heart of our team, handling a range of administrative activities to ensure smooth continuation of service by:
1. Providing a full range of administrative support to the Investment and Sustainability function within Asset Management, including, but not limited to, the compilation of letters, emails, phone calls to tenants and managing the mail for the department.
2. Assisting in the compilation of agendas, undertaking minutes of meetings, and all administrative tasks in relation to meetings.
3. Updating the Contractor/Consultants matrix ensuring it is always correct and all relevant documentation, including insurances, is valid and up to date.
4. Ensuring and monitoring contract invoicing and payments within the service.
5. Providing support while being discreet and sensitive to customer’s needs.
6. Working to set deadlines and parameters to maintain service KPI’s.
7. Planning and exercising conscious control of time spent on specific activities to increase efficiency and productivity.
8. Developing and maintaining relationships with staff.
9. Demonstrating excellent customer service skills while promoting the service.
About You

1. Experience in an office-based procedural role or equivalent.
2. Excellent interpersonal skills and an ability to communicate effectively at all levels of the organisation (written and spoken).
3. Proficient user of MS packages.
4. Demonstrated ability to learn bespoke computer database systems.
5. Ability to work on own initiative with minimum supervision.
6. Ability to work from home in a professional manner as and when required.
7. Ability to work from the office as and when reasonably required.
