This role serves as the key point of contact for handling resource requests, ensuring the right people are assigned to the right projects at the right time. Collaboration is essential, as we strive to deliver all work on schedule and to the highest Spring standards. The Resource Coordinator plays a pivotal role in ensuring the seamless flow of projects through the business.
Success in this role requires strong teamwork, attention to detail, and a proactive, solution-oriented mindset. The ideal candidate is highly organised, able to juggle multiple tasks and remains calm under pressure.
Job Responsibilities
Resource Management
1. Work closely with Creative Services Director, ECD, Head of Project Management, and Account and Project Manager to input all resource bookings into our scheduling tool.
2. Liaise daily with individual Creatives to understand workload & capacity and support prioritisation.
3. Proactively update and communicate changes in work requested / allocation of briefs to creatives as needed.
4. Support on resourcing across the business as needed, from Agency to Post to Ecom - including any/all of the following roles: Strategy, GCDs, CDs, ADs, Copywriters, Designers, Retouchers, Editors & CGI Artists.
5. Become an expert user of the platform that we use for resourcing, timesheets & reporting.
6. Provide admin support as required to the CSD, ECD & ‘Heads of’ roles.
Process:
1. Facilitate timesheet compliance – remind team to help ensure timesheets are completed accurately, weekly, across the business.
2. Run weekly & monthly reports on timesheets & utilisation.
3. Run the Creative Services inbox, answering any queries and escalating if needed.
4. Work into existing processes and be willing to support the creation of & trial new processes (with CSD).
Freelance Management:
1. Resource admin for freelance hires, handling paperwork accordingly, ensuring processes are followed.
2. Managing start & end dates appropriately with HR & IT.
3. Manage invoicing process.
4. Be the main point of contact for freelance booking & invoice queries.
5. Become an expert user of the freelance booking tool.
6. Support finding new freelancers and expanding freelance roster as needed.
