Role: Retail Ops Co-ordinator
Location: Head Office, Havant, PO9 1QJ
Working Arrangements: Hybrid Working (3 days per week office based)
Contract: Full Time, Permanent
Role Summary: To support the Retail Operations Lead in setting out seasonal and weekly communication, policy, guidelines, and projects to support the retail channel. This position involves supporting all the operational aspects of the business, coordinating with various departments to ensure efficiency and effectiveness in processes. The Retail Operations Co-ordinator should manage their day-to-day tasks. They will be able to take care of multiple responsibilities, including scheduling and coordinating events, as well as managing resources. The Retail Operations Co-ordinator must have excellent time management skills, be able to prioritise tasks, and work with others on a team. They must also possess excellent interpersonal skills, which allows them to build strong relationships with colleagues.
Role Responsibilities:
1. Support the Retail Operations Lead in pulling together all required documentation to be shared with stores.
2. Fielding calls and emails into Retail Operations and responding to store queries.
3. Ensure compliance with legal, regulatory, and organizational standards and practices.
4. Supporting the delivery of seasonal events for the field team including conference calls.
5. Maintaining, improving, and developing central shared drive filing, working with IT to develop approaches which are efficient and effective and embracing opportunities through systems development. Maintain and update policy and best practice documentation.
6. Act as a central point of contact in Head Office for information relating to retail operations.
7. Support the Retail Operations Manager to ensure all legal and compliance audit information is completed timely and accurately.
Skills and Experience:
1. Effective communicator both written and verbal across different departments.
2. Excellent Customer Service skills to stores and HO functions.
3. Strong administration, organisational and time management skills.
4. Ability to work on own initiative and prioritise effectively.
Role Competencies:
1. Thorough knowledge of Microsoft Office including Outlook, Excel, Word, and PowerPoint.
2. Good understanding of Store/Retail Operations processes and procedures.
3. Understanding of budgets.
4. Willingness to learn, flexible.
5. Strong administration skills.
Key Contacts and Relationships:
1. Store Managers and their crews.
2. HO functions – HR, property, IT, DBMS.
3. Liaison with suppliers – data, information, consumables, and event management.
Accountable for Resources:
1. Shared filing and documentation.
2. Audit trail of information; store databases accurate.
3. Support Retail Operations Manager with centrally managed cost base.
