Radiology is a busy department providing X-ray, CT, MRI, Fluoroscopy, Medical Physics, and Ultrasound services for the Emergency department, In-patients, and Out-patients. We provide 24/7 diagnostic services to the hospital using high-quality up-to-date equipment.
We have an exciting opportunity for an enthusiastic and dynamic team player to join us in Radiology. Experience working within the NHS would be advantageous.
Main Duties of the Job
Based in Radiology across CDDFT, the successful candidate will work closely with all members of the administrative team, alongside clinical colleagues and senior management within the department.
We are looking for someone with experience of leading a team across a number of sites, who has a strong ability to respond to regularly changing priorities and demonstrate the ability to work effectively and efficiently, supervising admin colleagues and supporting the wider healthcare team.
A candidate with excellent interpersonal skills, dedication, and the confidence to deal with a wide range of matters with tact and diplomacy will thrive in this role. Previous experience of leading a team and the ability to adapt to change while managing and prioritizing a heavy workload in a fast-developing environment is essential.
The successful candidate will be required to liaise with and provide support to Consultant Radiologists, maintaining accurate records, checking study leave requests, and ensuring they meet budgetary guidelines. They should be able to provide leadership management and development to the admin/clerical staff within Radiology through regular appraisals.
Job Responsibilities
1. Provide first point of contact to support Admin Teams, particularly when dealing with difficult patients or providers.
2. Organization and smooth running of the admin and secretarial staff including dealing with unplanned staff absences, planned absences, and rotas using Healthroster and ESR.
3. Recruitment and selection of staff, ensuring all documentation is complete to Trust requirements.
4. Conduct staff appraisals in accordance with Trust Appraisal Scheme to promote staff development.
5. Engagement with departmental Clinical Governance meetings and ensuring administrative representation at all other meetings.
6. Responsible for ensuring essential staff training is carried out as well as full training in departmental procedures and practices.
7. Managing the outsourcing of appointment letters printed off-site, liaising with external companies regarding alterations to the service.
8. Managing the administration of the CRIS Radiology system, updating and amending letters and information leaflets ensuring standardization across the Trust.
9. Validation of appointment waiting times, ensuring patients' target waiting times are met across all modalities.
10. Updating departmental Radiologist calendar regarding annual and study leave.
11. Producing weekly Radiologists rota based on current job plans and skill specialities for CD approval prior to disseminating information to relevant parties.
12. Allocating urgent reporting to Radiologists and external reporting company.
13. Checking outsourcing claims to ensure work is completed outside of job planned activity, entering shifts onto Circular Wave for Radiology Manager to approve.
14. Working closely with cancer services, specialist nurses, etc., ensuring patients are treated within the prescribed time scales and reports available for MDT discussion.
15. Liaison with external reporting company logging discrepancies in reporting and feeding information back to Radiologists.
16. Managing outstanding unreported exams, chasing up Radiologists and external companies to ensure no reports are outstanding longer than 10 days.
17. Producing reporting productivity information for Radiology Manager and CD when required.
18. Undertaking the role of Information Asset Administrator to provide support for the control and administration of information assets within their area/department.
19. Acting as RA Agent supporting the NHS Care Records Service applications using smartcards and appropriate access files.

Qualifications
* Good standard of general education, minimum of 3 GCSE's or equivalent at Grade C or above including English.
* NVQ Level 3 or equivalent in Administration (or working towards).
Experience
* Experience managing an admin team.
* Previous experience working within the NHS and/or a Radiology Department would be beneficial.
