The Blood Sciences department within Pathology at the Royal Sussex County Hospital are excited to advertise this opportunity join our team working with our Lipid Clinic Coordinator and Office Manager in delivering a high quality standard of data collection and patient related correspondence To provide a comprehensive and efficient secretarial and administrative service to our Consultants, ensuring all work is prioritised according to the demands of the service. Managing own workload and acting on an independent basis as required by an experienced Medical Secretary/Data Administrator. You must have excellent interpersonal skills and be able to communicate with NHS colleagues, patients and relatives by email, telephone and face to face. You must be able to priorities your workload, be good at time management and have the ability to meet deadlines. You must be adaptable and have the ability to embrace change. Knowledge of working in a hospital environment or similar environment is desirable but not essential. This is a full time position working 37.5 hours per week. To provide a skilled and in-depth administration and secretarial service for the Blood Sciences section of Pathology. This will include arranging appointments and producing letters for the Lipid Clinic, along with other administrative services (including minute taking) and supporting the Office Manager as required. Deal with incoming telephone calls from other trust staff at all levels, patients, company representatives, and external service users in an efficient and courteous manner, transferring them appropriately if required. Deal with either face-to-face or telephone queries which may be of a highly complex nature. Communicate with medical staff Organise and proactively manage meetings, including venue and invitations as required by Pathology Management, the Quality Team, the Pathology Services Manager or/and other Senior Laboratory staff. Troubleshoot investigations that have been carried out incorrectly by contacting individual patients and arranging repeat testing, ensuring that the samples are taken under the correct conditions. Attend staff meetings as appropriate. Attend Management and Network meetings and take minutes of a sensitive, confidential nature, which will require collating and producing on a daily basis. Communicate information, risks, issues, and dependencies, including briefings and reports to project teams, sponsors, plus a range of internal and external staff. Collate and publish a monthly bulletin for Blood Sciences. Organise own work schedule to provide an efficient secretarial and administrative support service for the Pathology Department. Support the Office Manager and Lipid Clinic Coordinator with their responsibilities as required. Type patient letters and reports (either audio tapes or copy typing). Sort and distribute incoming post appropriately. Contribute towards and implement changes in Trust and departmental protocol and policy which may have implications for service users.
