Senior Events Coordinator (Graduations) for our Higher Education Students

About our role: As Senior Events Coordinator, you will support the delivery of student events and multiple graduations, dealing with various stakeholders within QAHE campuses and external venues. You will work alongside a wider student relations team acting as the key point of contact for all events-related activities for students and wider staff. You will also handle a full range of student queries associated with awards, certificates, and graduations, facilitating, supporting, and encouraging student engagement in social activities and events.
Here’s a flavour of what’s involved:
Encourage and positively promote student engagement in student-led activities and events, providing supervision, training, and support to equip student event organisers and volunteers with the skills to run successful activities.
Provide a professional level of administration and organisation of student events and graduation ceremonies throughout the academic year, whilst providing continued support to key stakeholders including external venue hire contacts, catering companies, and other support teams.
Book graduation venues 9-12 months in advance, as well as catering for graduation ceremonies.
Support with the day-to-day administration of QAHE’s graduation ceremonies through the academic year, including assisting students with booking tickets, packing degree certificates, and providing support on ceremony days.
Receive and process events and graduation inquiries in a timely manner to contribute towards student experience.
Provide support to all existing and former (alumni) students including sorting and handing out certificates, arranging local and international postage of key documents, and verifying awards in liaison with the Registry team.
Ensure data/information relating to graduations on QAHE’s website is kept up to date.
Maintain accurate records with the graduation management data and any other agreed supporting systems.
Bring your experience:
Practical experience of planning and delivering events.
Ideally have experience of working in a student-focused environment, preferably in further or higher education.
Experience of responding to face-to-face, telephone, and email inquiries.
Self-motivated, with the ability to be proactive and take ownership.
