Overall purpose
In this role, you’ll oversee and take charge of all aspects of the project lifecycle of managing ground transportation for high-profile events. As you will be managing the full cycle, it’s essential that you are exceptionally organized with outstanding administration skills.
Building relationships with all key personnel, you’ll work to understand business requirements, demands, and challenges of each project; you’ll then construct project and resource plans, leading the implementation to ensure excellent service delivery.
Main responsibilities
1. Event management of all areas of ground transportation as required
2. Creating process documents and ensuring the processes are followed through
3. Day-to-day operational management of projects and staff allocated, to assure revenue and profitability targets are met
4. Understanding the brief and budget makeup on projects, scope of works, and conditions of contract; ensuring delivery within these parameters in line with client expectations
5. Assuring the timely and accurate delivery of projects, including the production of factual reports
6. Communicating effectively internally with regular updates to management
7. Processing job updates
8. Handling client and supplier queries
9. Preparing job quotations
10. Following up on missing information to fully complete each booking
11. Handling any special requests for clients
12. Assigning appropriate suppliers to reservations and sourcing new suppliers when necessary
13. Recording feedback in the system as required
14. Identifying new business opportunities, services, and products in conjunction with the Sales Director
15. Day-to-day planning of operations and problem solving
16. Answering correspondence related to the project
17. Ensuring all special instructions, requests, or quotes are added to relevant jobs
18. Ensuring all costs and quotes are captured on working documents
19. Informing the Sales team of account progress and arising issues
20. Establishing and maintaining effective working relationships with co-workers, clients, and suppliers
21. Managing supplier relations
22. Negotiating buy-in rates for large events
23. Developing detailed project plans for all events, including responsibilities and timeframes
Skills required
* Suitable service delivery experience
* Strong understanding of quality standards within the project environment
* Experience in leading a project team
* Awareness of internal and external standards of procedures
* Knowledge of budget monitoring and commercial awareness
* Good attention to detail
* Must be process-driven
* Proven track record of delivering events on time and within budget
* Excellent analytical, planning, and organizational skills
* Capability to manage and lead all deliverables for multiple events
* Excellent communication and presentation skills, with the ability to build strong relationships
* Fluency in a second language (desirable)
Experience & Qualifications
* Minimum 3 years working in a similar role
* Transport industry experience
* Extensive onsite events experience
* Events management degree or equivalent (desirable)
* Proven track record in delivering project management for small and large-scale events

* Pursuing personal development of skills and knowledge necessary for effective performance, attending training as required
* Maintaining regular and professional attendance, punctuality, and personal appearance
* Performing any other duties as required by management
