An opportunity has arisen to recruit an experienced and highly motivated Team Administrator within the Child and Adolescent Mental Health Services, based within the Stockton CAMHs Getting More Help Team.
The successful candidate will be required to provide administrative duties for the full multi-disciplinary team. Excellent IT and organisational skills and a good knowledge and understanding of information systems are essential. Significant secretarial/administrative experience along with comprehensive knowledge and experience within Microsoft office applications is required.
Main duties of the job
The team operates in a busy and fast-paced environment, so the ability to work under pressure to meet deadlines with a flexible and motivated attitude is essential. The role mainly includes day-to-day admin tasks such as:
1. Organising meetings and appointments
2. Answering the phone to service users and other agencies
3. Tending to the central email box
4. Minuting clinical meetings
5. Some dictation to support clinical staff
Excellent communication skills, both verbal and written, coupled with proven secretarial skills and previous experience are essential.
Job responsibilities
The successful candidate must have the ability to be organised, efficient, and have the capacity to prioritise their workload while dealing sensitively with issues and maintaining confidential information. Responsibilities include:
1. Attending huddles
2. Monitoring the team inbox
3. Making appointments
4. Diary management
5. Some dictation using Bighand
The candidate may also be asked to support the wider secretarial team, including Reception.
Person Specification
Qualifications
* Level 3 Qualification in relevant field or equivalent experience or willingness to work towards Level 3 qualification in Leadership and Management
* Key skills/functional skills in literacy and numeracy Level 2 OR O Level (Grade C and above/New GCSE in Maths and English (Grade 4 to 9) are essential for full competency in the role. Where an applicant does not have the above qualifications or is unable to provide evidence of certification, they MUST achieve the required standards during their probationary period.
* RSA Level 2 or equivalent Secretarial/administrative experience in a clinical environment.
Experience
* Experience of working in an administrative environment (diary management, filing systems, meeting coordination, minute taking, data input, collating and presenting information).
* Customer Service experience (face to face, answering calls, correspondence).
* Experience of organising competing demands and workloads.
* Experience of setting up and maintaining administrative systems and processes.
* Experience of working autonomously and proactively.
* Experience of supporting/supervising staff.
* Experience of handling monies and working within financial guidelines.
Knowledge
* Comprehensive knowledge of Microsoft Office applications.
* Understanding of data protection and the need for confidentiality and how to maintain this.
* Knowledge of office systems and processes.
* Working knowledge of medical/psychological terminology.
Skills
* Good interpersonal and communications skills (articulate, meaningful, legible, and appropriate to the audience).
* Ability to accurately transcribe data from various sources, including digital dictation software.
* Numerate to undertake basic calculations/information.
* Follow and work within defined procedures.
* Good organisational skills and ability to prioritise workload and work on own initiative within procedures.
