Job Summary Performs a wide range of administrative and office support activities to assist the Executive(s) in facilitating the efficient operation of the business organization. Responsibilities And Duties Executive Communication - Act as the initial point of contact, for the Executive, for internal and external communications; Sorting, prioritizing, and helping with telephone, email, mail, and in-person contacts as required. Executive Time Management – Provide the Executive with preliminary, in-depth, or background research, prioritize their time-sensitive tasks, and maintain their organization systems. Executive Calendar - Maintain the Executive's calendar by coordinating business meetings and documenting personal events, keeping them well informed of upcoming commitments and important dates. Executive Meetings – Assist the Executive with meetings, including scheduling, sending reminders, preparing meeting materials, documenting meeting progress, and follow-up items. Executive Travel – Research, coordinate, and book complex and detailed travel plans and itineraries. Executive Correspondence/Documents – Provide administrative assistance, such as drafting and editing correspondence while maintaining comprehensive and accurate records through appropriate filing systems. Executive General - Manage sensitive matters with a high level of confidentiality and discretion. Executive General - Pick up deliveries and run errands for the Executive, for business reasons, completing general intercompany compliance requirements, and sourcing supplies as needed. General – Ensure compliance with any company policies and procedures. General – Help as needed with computer duties, maintain documents, calendar coordination, and communication between departments. Other duties as assigned. Skills and Abilities Exceptionally detail-oriented, organized, and focused on quality results. Excellent verbal and written communication skills Highly proficient in Microsoft applications, Adobe/Bluebeam applications Comfortable learning new software applications quickly and with little direct supervision Possess a strong desire to keep IT-related skill set relevant and useful. Excellent time management skills, self-motivation, and ability to prioritize work. Demonstrates ability to take initiative, anticipate needs, and exercise independent/sound judgment. Required Experience and Education High school diploma/GED required. Bachelor’s Degree preferred. 3 years of experience in office administration duties. Previous experience related to the construction industry. Physical Requirements Must be able to work in an indoor office environment and an active outdoor construction site environment. Must be able to ascend and descend ladders, stairs, and work in confined spaces and in proximity to loud equipment. Must be able to traverse irregular and steep terrain. Must be able to work in various weather conditions and be exposed to dirt or dust. Must be able to wear required personal protective equipment most of the day. Must be able to lift and carry 25lbs regularly and 50lbs occasionally. Must be able to work for long periods of time in front of a computer or while standing.
