Senior Front of House Role
The Senior Front of House role will play a crucial part in creating a positive and professional first impression for clients, both national and international. This dynamic position involves engaging with senior stakeholders, shareholders from the parent company, colleagues at all levels, and other external visitors. The role is central to the bank's operations, managing Front of House duties, coordinating facilities and office activities, and providing essential secretarial and administrative support.
Key Responsibilities
Reception duties: Clients / visitors
1. Meet and greet clients and external visitors promptly, responding to their needs and enquiries efficiently.
2. Provide refreshments and manage waiting times for clients and visitors.
3. Manage incoming telephone calls to the Bank's main reception and handle enquiries effectively.
4. Ensure uninterrupted service and adherence to security and access procedures at the reception desk.
5. Support Premier customer onboarding, ensuring compliance with risk management frameworks (e.g., KYC/KYB/AML guidelines) and maintaining data quality.
6. Ensure Premier customer documents are clearly and legibly uploaded onto internal systems (e.g., Salesforce, DSX).
7. Assist with additional Premier customer administrative activities as capacity allows, where necessary.
General office admin duties
1. Ensure the reception area, adjacent spaces, and meeting rooms are welcoming and well-maintained.
2. Manage access control, including colleague access cards and visitor badges.
3. Coordinate and oversee office supplies, ensuring availability and quality.
4. Uphold Health & Safety standards, including managing the first aid register and supplies.
5. Efficiently handle incoming post and deliveries.
6. Oversee meeting room bookings, ensuring arrangements for seating and refreshments.
7. Address and report any facility issues, managing cleaners and liaising with contractors as needed.
8. Supporting the booking of companywide accommodation in the UK.
Support to Senior PA:
1. Manage Board and Executive diaries, co-ordinate their meetings and handling sensitive and highly confidential meeting papers (include uploading to Diligent).
2. Oversee expenses management, invoice processing, holiday tracking, lunch order and travel arrangements.
3. On occasion support with minute taking of high-level meetings.
Qualifications & Experience
1. At least 3+ years' experience in a similar role, preferably in a corporate organisation (Consultancy, Banking, or Financial Sector), with a proven ability to work in fast-paced environments.
2. Excellent written and spoken English with strong interpersonal and communication skills, and the confidence to welcome and interact with clients and visitors.
3. Strong organisational skills, with the ability to prioritise effectively, work independently using initiative and judgement, and maintain attention to detail.
4. Flexible and adaptable to changing priorities, with a collaborative mindset and a positive, can-do attitude.
5. Experience in office management and dealing with third-party contractors.
Knowledge & Skills
1. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams) and familiarity with office equipment.
2. Ability to handle sensitive and confidential information with discretion and professionalism.
3. Strong problem-solving skills and the ability to handle unexpected situations efficiently.
4. Collaborative attitude and willingness to support colleagues and departments with various tasks.
5. Flexibility to cover for the catering assistant when needed, demonstrating adaptability and a team-oriented mindset.
6. Desirable knowledge of workplace Health and Safety practices and protocols.
7. Proficiency in Arabic would be a bonus but not a requirement.
8. Proficiency in English is essential, both spoken and written.
