ROLE PURPOSE We are seeking an experienced SFM who will take charge of the dynamic day-to-day management of estates across Sussex, Surrey & the South East. This exciting role involves overseeing vacant and non-lettable properties, implementing and managing estate Planned Preventative Maintenance (PPMs), and handling reactive maintenance works. You'll be at the forefront of on-site management for lease terminations and the hand-back process, as well as surveying and setting scopes for reletting and small works. You'll collaborate closely with the assets and property departments on innovative estate improvement projects. You'll be responsible for your estate, taking ownership and ensuring the highest level of service and experience for our customers KEY ACCOUNTABILITIES Complete all hand backs, record site conditions with photos for the Lease End Manager, and secure spaces by taking back keys from customers. Oversee simple re-letting works, including creating performance specifications, managing the supply chain to ensure timely completion, and liaising with internal teams such as Vacant Estate Managers and Building Surveyors. Ensure all reactive maintenance works within your portfolio are completed within agreed SLAs by managing the maintenance service provider. Deliver the Operational Risk Management Inspections programme to identify, manage, and mitigate risks across the portfolio, ensuring compliance with head-lease and statutory requirements. Support and manage the Planned Preventative Maintenance (PPM) regime to ensure all landlord-managed assets are statutory compliant, working closely with the Compliance Team and maintenance service provider. Collaborate with Property Managers, Asset Managers, and other colleagues to enhance the appearance of estates, attracting new customers and increasing value through service charge enhancements. Create, develop, and maintain strong relationships with customers, stakeholders, and contractors to drive engagement, collaboration, and improve operational delivery. Work closely with the Investment Team, Property Managers, and Building Surveyors on the identification, scoping, and delivery of renewals and investment projects, ensuring sites are in a lettable condition. Have a detailed understanding of the portfolio strategy, align with operational changes, and assist in business change projects as necessary. Assist and support the Operational Railway’s Arch Inspection & Repair programme within the portfolio. SKILLS, KNOWLEDGE, AND EXPERIENCE Essential Proven experience in facilities management or a related field. Proficiency in facilities management software and digital tools. Excellent written and verbal communication skills. Strong decision-making and problem-solving abilities. Demonstrated ability to provide excellent customer service. Strong interpersonal skills to maintain positive relationships. Awareness of health, safety, and compliance regulations. Ability to analyse data for reporting and strategic decision-making. Ability to manage multiple properties and projects simultaneously. Desirable A degree in facilities management, property management, real estate, business administration, or a related discipline. Relevant certifications in facilities management, property management, or real estate (e.g., CPM, RICS).
