To operate and monitor the Trusts Patient Flow system on behalf of the portering department.
This is an integral part of the patients journey within the Trust, and as such, requires someone with an eye for detail and a diligent attitude.
This position requires someone with great communication skills at all levels, from porters to the Chief Executive.
This vacancy is open to all internal and external candidates. NHS Employees should ideally secure their manager’s agreement for a secondment arrangement ideally prior to applying, as this will be a condition of any offer made. This vacancy is advertised on a fixed term basis, it has been established due to a pending service review and will end after 12 months. Whilst this post is advertised on a fixed term / secondment basis there is the potential that this post may become permanent in the future.
Duties and Responsibilities
As a member of the site Portering team you will undertake a wide range of clerical duties to support the service as directed by the Managers:
1. Administration and monitoring of Patient Flow. This is a task allocation system which assigns porters to various tasks.
2. Receive and make incoming/outgoing calls for the department with internal and external contacts, taking any messages and initiating appropriate action for portering assistance.
3. Use all communication facilities provided.
4. Completion of databases & spreadsheets for recording and reporting activity through the Portering control Systems.
5. Accuracy when recording information.
6. Produce memos, letters and reports promptly and accurately.
7. General photocopying, scanning, faxing.
8. Receives and opens incoming mail, sorts and posts outgoing mail at the end of the working day.
9. Manage ad hoc bookings for furniture moving and removal and co-ordinate this work with the ad-hoc duty porter.
10. Liaise with departmental colleagues, other staff and managers in the Trust, external suppliers and contacts, Finance Department and users of services as directed.
11. Use of Oracle systems for checking invoices & Delivery notes.
12. Establish and maintain effective and efficient filing systems.
13. Maintain general records.
14. To update the intranet menu on a daily basis.
15. Maintain stationery stock and requisitions replacements.
16. Plans and arranges meetings for Managers.
17. Any other general clerical duties as directed.
Work Circumstances & On-call
Could be required to work flexible hours or work on another site.
