Job Summary
The HR Administrator will play a key role in supporting HR processes in Card Geotechics Limited and Concept Engineering, ensuring compliance, managing HR systems, and providing general administrative support. This role requires strong organisational skills, attention to detail, and the ability to handle confidential information with professionalism. The role will be based at our head office in Harrogate but may require travel to other UK sites on an adhoc basis.
Key Responsibilities
Training
* Coordinate and book mandatory training for Concept Engineering staff and update the training matrix accordingly.
* Manage the IHASCO training platform, including enrolling new starters, generating reports, and removing leavers.
* Coordinate and manage Mental Health First Aid training and Mental Health activities in conjunction with the SHEQ manager.
HR Compliance
* Arrange site security passes & DBS checks for relevant staff.
* Complete HR-related sections of Pre-Qualification Questionnaires (PQQ), including policies, staff numbers, and reporting.
* Ensure CGL and Concept comply with GDPR, including managing right-to-work checks and ensuring that personal information held complies with current law.
* In conjunction with SHEQ manager arrange and manage ad hoc drug and alcohol testing for relevant staff.
* Visa sponsorship - Serve as a Level 1 user for the CGL Sponsorship Management Systems (SMS) to update changes in the Home Office system in the absence of the HRBP.
* Ensure HR policies are reviewed and signed off in a timely manner to comply with audits.
Recruitment & Onboarding
* Respond to speculative enquiries and direct applications to relevant managers.
* Coordinate and arrange interviews with candidates.
* Manage the post-offer acceptance process, ensuring smooth communication with candidates.
* Coordinate onboarding forms and liaise with payroll, SHEQ, finance, and other departments to ensure efficient onboarding.
* Schedule and monitor 1, 3, and 6-month review meetings for new hires and ensure paperwork is completed.
HR Systems & Reporting
People HR
* Maintain People HR to reflect all employee changes.
* Generate regular and ad-hoc reports for managers.
* Compile and maintain logbooks to track HR events and activities.
PIMS
* Act as the first point of contact for PIMS maintenance and queries related to absence and working patterns for UK and international staff.
* Compile reports for managers on annual leave and attendance trends.
Compensation & Benefits
* Administer employee benefit platforms, including managing joiners, leavers, and generating reports.
* Collate authorised CGL payroll changes and overtime and liaise with the payroll team in a timely manner.
HR Communications & Employee Lifecycle
* Prepare HR communications, including:
* Letters for annual salary reviews, changes to terms, contracts of employment, maternity leave, TUPE, chartership, and length of service milestones.
* Manage the leaver process, including:
* Resignation acceptance
* Arranging exit interviews.
* Collecting company equipment.
* Reconciling annual leave.
* Communicating with relevant departments to ensure a smooth exit process.
* Complete employment and financial references for staff as required.
Office Administration
* Provide general office administrative support to the Harrogate team, including handling post and office supplies.
* Provide holiday and absence cover for other administrators in CGL as needed.
