Festival Accommodation Coordinator
Please note this is a fixed term role until late September 2025.
As the Festival Accommodation Coordinator for Manchester International Festival 2025 (MIF25), you’ll be our main point of contact for all artist and production accommodation, ensuring everything runs smoothly while managing large volumes of information and data. Under the guidance of the Artist Liaison Manager, you’ll maintain precise booking and financial records, process invoices promptly, and keep booking updates flowing with the Artist Liaison, Producing, and wider teams.
You’ll also nurture relationships with accommodation providers, oversee contracts, and address queries, all while providing a high level of support for artists and their teams. By offering regular progress updates and collaborating across teams, you’ll help guarantee a seamless experience for everyone involved.
The successful candidate will work closely with the existing Artist Liaison Manager and an additional Festival core team comprising two Festival Artist Liaison Coordinators and a Festival Artist Liaison Administrator, alongside the wider producing and operations teams, to develop a well-organised system for MIF25 accommodation within the Factory International framework.
This role calls for strong project planning skills, excellent interpersonal abilities, and the capacity to thrive in a fast-paced environment. Knowledge of Manchester and accommodation logistics is a bonus. Although based at our Aviva Studios venue, some remote working options can be discussed.

Key Responsibilities
* Taking responsibility, and act as the lead contact, for delivering & coordinating all artist and production accommodation arrangements for Manchester International Festival 2025 (MIF25) – under the guidance of the Artist Liaison Manager.
* Ensure the processes & procedures of tracking accommodation bookings are dealt with accurately and in a timely manner.
* Maintain clear lines of communication with the Artist Liaison & Producing team and be the point of contact for any queries relating to the provision of accommodation.
* Key contact for the accommodation providers and managing the resulting contracts and relationships during MIF25.
* Assist the Artist Liaison team with other duties that are commensurate with the post including but not limited to the creation of travel itineraries and maintaining administrative systems and processes including the use of Microsoft Office 365 and other internal & external systems and applications.
* Work with the Artist Liaison Manager to develop and nurture relationships with key accommodation suppliers to build solid working practices.
* Prepare and manage accurate expenditure records, spend forecasts, and project schedules as requested by the Artist Liaison Manager, Festival Artist Liaison Coordinators, Producers, Event Managers, and other project leads.
* Support the Artist Liaison & Producing team to ensure that all artists and their teams enjoy a high level of care when working with us across all MIF25 projects.
* Provide regular updates to the Artist Liaison Manager & Festival Artist Liaison Coordinators and project leads of the progress on accommodation bookings for which the role is responsible.
* Act as a representative of Factory International & MIF at meetings with external partners, internal meetings, and when carrying out your duties out of office.
Person Specification
Essential
* Good project planning skills, such as identifying the scope, key deliverables, and deadlines for projects; and the ability to work on multiple projects simultaneously to strict deadlines.
* Experience of working with budgets, including reconciliation, with strong basic maths skills.
* Good interpersonal skills with the ability to communicate and work effectively across teams internally and externally with people from a wide variety of backgrounds.
* Positive and enthusiastic attitude, including a flexible approach to developing and delivering the job.
* Excellent administrative & IT skills including Microsoft 365 applications (Word, Excel, and Outlook) and the ability to pick up systems quickly.
* Creative problem solver with great attention to detail.
* Commitment to championing representation and inclusion at every level of the organisation with a proven ability to work with people from a wide range of backgrounds.
Desirable
* Knowledge and experience in handling large volumes of booking & financial records, including UK VAT.
* Knowledge of Manchester, particularly the city centre, accommodation providers, and the city’s infrastructure.
* Experience of working within the hospitality and accommodation sector.
* Enthusiasm for training, mentoring, and support of emerging talent.
