This is a fantastic opportunity to join and work across the Bedfordshire Neurotherapy service. This multi-disciplinary team aims to prevent unnecessary hospital admissions, accelerate hospital discharges and provide neurorehabilitation in the community.
You will be joining a friendly, dedicated and supportive team of Physiotherapists, Occupational therapists, Psychologists, Speech & Language therapists, therapy assistants, and administrators.
You will be responsible for completing a wide variety of administrative tasks in supporting the Stroke, ABI and Neuro pathways and Service lead.
You will have a good level of IT literacy and will be familiar with MS Word, Excel, Outlook, and PowerPoint.
You will need to be numerate, able to maintain data spreadsheets and trackers, and input data accurately into a variety of systems.
You will need excellent communication and time management skills, and excellent organisational skills to deal with ever-changing priorities.
Any knowledge of medical terminology is beneficial but not essential.
The successful candidate will also be able to arrange meetings, take minutes, maintain action trackers, and prepare meeting papers. Flexible working options are available.
Responsibilities:
1. Provide a full range of administrative support to Bedfordshire Neurotherapy service, including Early supported discharge Stroke, Neuro rehab, and Acquired Brain injury pathways.
2. Act as the first point of contact for the Neurotherapy service and provide comprehensive and confidential administrative and secretarial support to a multidisciplinary clinical team.
3. Liaise with other administrators, clinicians, and leadership team to provide secretarial and administrative support throughout the patient pathways.
4. Manage correspondence, deal with telephone calls and support team members with office IT, escalating when required.
5. Understand the services delivered and staff roles within the service.
6. Support SSNAP audit in data collection and inputting in the SSNAP portal, ensuring accurate stroke data entry.
7. Work with the Service Leads to facilitate team management, service review, and improvement.
8. Action referrals received by the service and register them to the appropriate pathways on SystmOne in a timely manner.
9. Escalate any referral-related information to the Service Leads or Discharge coordinator or clinicians as necessary.
10. Support management of Health roster and HR folders within SharePoint accurately and promptly.
11. Support and delegate tasks to other admin colleagues and arrange cover for key roles during periods of absence.
12. Maintain the shared drive for the service up to date and organised.
13. Work autonomously but seek advice when necessary.
14. Set and review priorities for own workload in an unpredictable environment.
15. Attend in-house service meetings as an Administration representative and take minutes as required.
16. Participate in the development and updating of standard operating procedures (SOPs) for all administrative processes.
17. Develop and maintain proficiency with relevant IT systems including MS Office, Oracle, NHS Supply Chain, and E-Rostering.
Communication:
1. Answer incoming calls and enquiries exercising judgement when dealing with patient queries.
2. Demonstrate a high level of customer service to all staff.
3. Ensure patient and staff information are handled in line with the Trust Information Governance Policy.
4. Establish and maintain accurate databases and electronic systems to support effective delivery of patient care.
5. Deal with telephone enquiries and written communications regarding patients in an efficient and professional manner.
6. Maintain and update patient information.
Service Development and Improvement:
1. Support the development of project schedules and plans.
2. Develop appropriate project tracking systems as required.
3. Support the team in writing any policies or documents that may be required.
4. Comply with organisation and department policies and procedures.
5. Maintain a high level of communication skills including listening and speaking.
