Job summary This position is open to staff working at the Trust in the 'ECT Family' this includes current East Cheshire NHS Trust employees, both NHSP and ECT bank staff, ISS staff and volunteers at the Trust. Hours per week: 22.50 Main duties of the job Provide a comprehensive confidential PA support service to the Senior Management Team covering diary management, appointments, meetings, events and conferences, dealing with queries and projects and setting up and maintaining databases. Transcription and composing of letters - letters are often of a confidential, sensitive or contentious nature. Have line management responsibility as required for designated secretarial staff, including undertaking of trust appraisals, sickness and absence procedures etc. Approve leave for designated secretarial staff ensuring that the needs of the service are covered and the wider implications for the directorate are taken in to consideration. Provide accurate minutes of Directorate, Management and Service meetings. Handling incoming/outgoing mail, distributing all routine correspondence. The post holder is also responsible for flagging up any urgent post/emails, taking any necessary action in the absence of the Senior Management Team. Diary Management - use of electronic diary, ensuring diaries are free from clashes, ensuring regular meetings are planned well in advance and all papers available in a timely manner to facilitate meetings.
