Location: Mossmorran, Cowdenbeath Contract Type: Long Term, Contract The Opportunity The Business Administrator is responsible for providing office support on-site including, but not limited to, site management / Supervision, site employees and clients.
Ensure company data is up to date and interacting with all noted parties, ensuring positive relations are maintained.
Key Responsibilities Manage requests for safety glasses.
Update emergency contact folder.
Driver consent
- set up for online training.
Raise all certificates for in-house training, including upload on to SharePoint.
Stationary orders Deal with IT requirements – Exxon & KAEFER HR support including onboarding & leavers / transfers.
Arrange Exxon on-site inductions.
Request/Cancellation of on-site passes.
Upload PSMS documentation onto Exxon SharePoint & IMPACT system.
Log HAVS tickets.
Log & file all documents related to The Pulse, PSMS LEAD meetings & Toolbox Talks POB report & weekly attendance On site vehicles management including upload of vehicle data SORs / R&Rs – upload to SharePoint & Assure Arranging IHASCO training for new starts prior to arrival, as well as for current personnel Maintaining up to date training matrix, including upload on to SharePoint Maintaining up to date personnel training records Take part in monthly Training mtg for reviewing / identifying training requirements to ensure maintain compliance figures.
General Admin Support as required for office, answer phone calls, etc.
Maintain WIP Report CDMS Labour input (Training Provided) Knowledge, Skills & Experience Maintain and promote a safe working environment.
Highly motivated with the ability to work with minimal supervision.
Strong communication skills, both verbally and written Well organised with good time management Key eye for detail Microsoft Excel Have experience of meeting demanding targets and deadlines Be proactive and able to work using own initiative.
Experience in dealing with external clients.
Experience or working within a similar role / environment.
