HOURS/WEEK:
* Approximately 36 – 40 hours/week
JOB PURPOSE: To enhance the daily operations of the clinic by providing excellent service and communication to our patients. Responsibilities include providing first point of contact friendly patient services; scheduling patients; accurate and effective scheduling; treatment consultations and excellent patient service.
ESSENTIAL FUNCTIONS:
1. SERVICE RESPONSIBILITIES:
o Exemplify excellent patient care.
o Foster a positive attitude at work when interacting with staff and patients and be a team player.
o Practice First Choice Dental’s philosophy of direct communication.
o Perform work in an efficient manner and be timely with patient care.
o Provide coverage at other sites when requested.
o Respect patient privacy through professionalism and confidentiality.
o Initiate ideas for ways the site can improve or become more efficient.
o Maintain effective organizational skills and a high attention to detail.
2. DAILY RESPONSIBILITIES:
o Accurately schedule patient appointments via phone or in person.
o Answer phones by warmly greeting the caller.
o Fill the schedule when there are openings or cancellations.
o Complete appointment verification process.
o Refer patients to proper specialist/office based on clinical need(s) and/or insurance.
o Verify insurance coverage for patient when necessary.
o Review prior day’s claims for accuracy.
o Post any patient payments received by mail.
o Run end of day reports for proper deposit balance.
o Batch credit card machine and verify all transactions.
o Provide daily deposit to clinical administrator for approval.
o Deliver cash deposit to financial institution.
o Confirm patient’s upcoming appointment.
o Review account ledgers and perform breakdowns to understand the patient balance.
o File patient charts and paperwork.
o Monitor patient communication software.
o Transfer charts as needed.
o Sort and distribute mail.
o Inactivate patient accounts when requested.
3. PATIENT CHECK IN RESPONSIBILITIES:
o Greet all patients warmly.
o Verify the patient’s information.
o Notify clinical staff of patient arrival.
o Provide new patients with appropriate paperwork.
o Enter new patient paperwork and verify any necessary information.
4. PATIENT CHECK OUT RESPONSIBILITIES:
o Greet the patient during hand-off from clinical staff.
o Verify that all treatment has been entered into the ledger.
o Submit claim for the day’s procedures.
o Collect any balance due.
o Run third party financing transactions.
o Schedule next appointments for the patient.
5. FINANCIAL RESPONSIBILITIES/TREATMENT PLANS:
o Understand and follow First Choice Dental’s financial policy.
o Secure a signed financial arrangement for recommended treatment.
o Provide patient information about upcoming treatment (i.e. brochures, appointment card, treatment plan, etc.).
6. INSURANCE RESPONSIBILITIES:
o Understand insurance coverage and be able to explain coverage to patients.
o Submit insurance pre-determinations and follow up with the patient.
o Complete new insurance breakdowns and submit to insurance department.
o Review Fast Attach for necessary attachments. Review EDS for denied claims and correct as necessary.
o Process insurance appeals.
7. CONTINUING CARE RESPONSIBILITIES:
o Contact patients who are past due for their recall appointments.
o Make last minute calls to fill hygiene schedules.
o Follow our continuing care protocol and review connected hygiene appointments.
JOB QUALIFICATIONS:
EDUCATION:
High School Diploma required; Associate Degree preferred.
