We are seeking a highly skilled Executive Assistant to support our EMEA President in a dynamic and fast-paced environment. In this role, you will be the primary interface between the internal and external contacts ensuring flawless communication and coordination. In addition, you will:
* Handle a wide range of administrative tasks including managing calendars, expense reports, confidential correspondence, and travel arrangements.
* Ensure their schedule is followed, acting as a gatekeeper and facilitator for access to the EMEA President.
* Communicate on behalf of the EMEA President with the Executive team, EMEA Leadership team, staff, and external contacts, collaborating closely with other Executive Assistants.
* Research, prioritise, and address sensitive or confidential issues involving the President, determining appropriate actions or responses.
* Facilitate smooth communication between the President's office and internal departments, maintaining credibility and trust with Senior Management.
* Keep the President informed of upcoming commitments and key issues, providing updates and acting as a "barometer" for the working environment.
* Complete critical tasks, such as drafting correspondence and handling other key deliverables, to support the President’s leadership.
* Prioritize and manage conflicting needs, handling projects expeditiously and meeting deadlines under pressure.
* Act as a Senior Management Liaison, participating in EMEA Senior Leadership Team activities, coordinating meeting agendas, and facilitating cross-divisional travel and event planning.
* Organize and manage Senior Leadership Team meetings, regional events, conferences, and some global functional team meetings, both in the UK and overseas.
About you:
We are looking for someone who has exceptional judgment, excellent communication skills and the ability to manage multiple priorities while handling confidential matters with discretion. Additionally, you should be open to occasional international travel, primarily within Europe, and willing to work outside regular office hours when needed. * Experience in managing a company intranet and creating online content.
* Experience working with third-party agencies and negotiating contracts.
* Proficient in Microsoft Office Suite, Adobe Acrobat, and Desktop Publishing programs like InDesign, Illustrator, and Photoshop.
* Strong supplier and stakeholder management skills.
* Highly proactive, self-starter, thriving in a continuous improvement environment.
* Well-versed in social media and the broader online landscape.
* Creative thinker with implementation skills.
Education:
* Ideally educated to A Level standard and above.
* Qualification from a professional body such as IoIC/IABC is appreciated, but not essential.
