Job summary The secretarial team currently consists of 4 members of staff. The secretarial duties listed below are shared across the team with each individual responsible for managing their individual workloads. This is a fantastic opportunity for an experienced, enthusiastic, and pro-active Medical Secretary to join our Medical Admin team on either a full-time or part-time basis. This is an essential front-line role to provide an efficient, comprehensive secretarial & administrative support service to the main Practice Management Team. Experience of medical secretary duties in a medical field is preferable but full training will be provided. The secretarial team is responsible for dealing with all clinical correspondence referrals and related queries. The post holder will be communicating regularly with doctors, nurses, paramedics, hospital departments and of course patients. The post holder will need to be organised, flexible and have good communication skills. The ability to work under pressure and effectively prioritise their own workload is essential. In return, they will be working in a very friendly and supportive environment. Main duties of the job Providing a full secretarial service for; All GP's & health professionals as required. This includes the typing of letters, reports, patient referrals in an accurate & quality manner. Handling patient & practice queries regarding hospital appointments & treatments confidentially. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently. Ensuring that any requests for information from medical records are appropriately dealt with according to Practice policy & that all subsequent charges are invoiced appropriately. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms. Maintaining the computer based clinical system in an accurate & secure manner. Experience of using System One is essential. Sound knowledge of medical terminology Knowledge of Medical Read Coding Methodical and logical with excellent attention to detail Ability to work under pressure and to prioritise workloads Clear and confident communicator Able to follow GDPR policies and guidelines Understanding the need to maintain confidentiality and data security at all times.
