PURPOSE
The primary role of the Admissions Officer is to assist the Head of Admissions and the Admissions Manager with the processing of admissions enquiries for the IB World School. The Admissions Officer plays a significant role in onboarding of all students to the school ensuring they have all the information they need prior to arrival and ensuring that all UKVI requirements for international students are observed.
KEY RESPONSIBILITIES
To provide administrative support for the Head of Admissions and the Admissions Manager to enable the College to meet student recruitment targets in the following ways:
Admissions
1. Dealing with admissions enquiries via e-mail, online registration, telephone and in person.
2. Producing written correspondence and sending out the relevant brochures and links to online application forms in response to admissions enquiries. Compiling information packs for visitors. Requesting school reports in response to enquiries and applications.
3. Arranging and scheduling placement tests and interviews and conducting tours of the College for potential and existing applicants, parents and agents.
4. Maintaining applicant records in Salesforce (CRM) and liaising with the College’s Bursary regarding the collection of enrolment deposits. Producing personalised correspondence through Salesforce and the College’s Admissions database - offer letters and deposit receipt letters for applicants, including scholarship and bursary applicants.
5. Ensuring that Salesforce is kept up to date as each enquiry and application progresses.
6. Regularly updating the Admissions tracker and running reports on Salesforce to ensure accurate year-on-year comparisons of admissions data can be made and reported to the College’s Senior Management Group.
7. Maintaining a record of each applicant’s subject choices and keeping the Assistant Principal, Academic informed of changes to these.
8. Maintaining excellent levels of interaction and relationships between the College and all enquirers, applicants, agents, other educational institutions, and the general public.
UKVI
1. Maintaining an up-to-date and accurate awareness of the UKVI procedures and guidelines.
2. Ensuring tight checks are in place in accordance with the conditions through which the College is a licensed sponsor of visa applications.
3. Ensuring that all information and records regarding visa applications are stored according to UKVI instructions and that this is readily available for inspection from the UKVI.
Pre-Arrival
1. Managing the process of checking online ID photos and the collection of Joining Information on the Admissions database. Providing students with pre-arrival information. Ensuring that any relevant interview information, e.g., Medical notes, are passed on to the Vice Principal Pastoral and the College Nurse.
Arrival
1. Taking a leading and proactive role leading up to and during Arrivals Day for new students. This involves arranging airport transfers, welcoming new students and their parents, and checking and recording passport, visa information, and the immigration status for each student in accordance with UKVI instructions.
General
1. Using Salesforce and the Admissions database to produce reports and occasionally producing data for other reports which may be required from time to time by the Head of Admissions, the Director of Marketing and Admissions, and the Vice Principals and the Principal.
2. Providing administrative support for the organisation of all Open Days and the College’s Scholarship Days. This will involve working occasional Saturdays and evenings.
3. Occasionally undertaking duties normally carried out by the Admissions Manager during periods when she is away from College and any other reasonable duties at the request of the Head of Admissions, the Director of Marketing and Admissions, the Vice Principals, and the Principal.
HOW TO APPLY
Salary range to £28,000-31,000 per annum. Starting salary will be dependent on skills and experience.
