Personal Assistant / Business Support Executive

Our client is seeking a commercially astute and business-savvy PA to provide high-quality administrative support at Board level, as well as to two Directors. As an active member of the Business Support team, the ideal candidate will have demonstrable and versatile experience and be confident in coordinating specific projects.
Key Duties and Responsibilities:
Support to the Directors:
1. Prioritise all correspondence (email and written)
2. Handle correspondence and emails quickly and efficiently, maintaining a high standard
3. Make and receive phone calls, screen calls, inquiries, and requests, progressing them appropriately
4. Maintain the contacts database
5. Establish relationships with key contacts in external organisations
6. Perform audio typing tasks
Diary Management:
7. Manage and maintain diaries
8. Arrange meetings and keep electronic diaries up to date
Committee Responsibilities:
9. Maintain positive contact with Committee/Board members
10. Collate and distribute meeting papers, including action logs
11. Attend meetings and take minutes
12. Ensure meeting dates are incorporated into Committee/Board members' diaries without clashing with other commitments
13. Ensure papers are filed correctly for audit purposes
Project Coordination:
14. Understand project and development processes
15. Manage documents
16. Conduct research
17. Maintain minutes and action logs
18. Organise meetings
19. Produce documents
Research/Presentations:
20. Undertake basic research/data collection as requested
21. Collate and organise data, preparing basic tables and/or
22. Assist in drafting presentations
Travel Management:
23. Arrange all aspects of travel
Skills and Experience Required:
24. Exceptional administration and PA skills
25. Ability to oversee and coordinate multiple projects
26. Strong commercial awareness
27. Outstanding attention to detail and compliance awareness
28. High level of proficiency in Microsoft Office
29. Excellent written and verbal communication skills
30. Strong team player
31. Confident in conversing with external clients as well as internal colleagues
