What we are looking for We are currently seeking a Hospitality Ticketing Executive to join our Ticketing and Retail team, based in our offices at the racecourse in Ascot, Berkshire. What you’ll be doing An important role, working within a team that delivers all of the ticketing and fine dining fulfilment and despatch for all areas of Ascot Racecourse as well as acting as the first point of contact for inbound customer enquiries. Alongside managing the in house retail operation of the Ascot Shop. This role will form part of the team that will interact on a day-to-day basis with the proactive sales team to fulfil the requirements of the customers. It is the duty of this role to help towards the smooth operation of the ticketing and retail team. Using the new, bespoke ticketing and hospitality booking systems, it is the duty of this role to utilise the systems appropriately to generate fulfilment lists, hospitality dining requirements and box packages for Ascot Racedays and Royal Ascot. Responsibilities: Alongside the Ticketing and Retail Manager, agree the production of all boxholder printed collateral, including badges, tickets, carparking passes etc. Production, printing, fulfilment and despatch of all fine dining restaurant admission tickets for Royal Ascot The above includes all swing badges, car parking labels, marketing collateral and any other necessary inclusions Production, printing, fulfilment and despatch of all box and loge admission tickets for Ascot Racedays and Royal Ascot The above includes all swing badges, car parking labels, marketing collateral and any other necessary inclusions Responding to customer enquiries from the Sales and Boxes teams. Work closely with the ARL Sales Team and the 1711 By Ascot teams on catering requirements, table plans and other details of boxes and restaurant bookings. Manage AtCost request bookings, ensuring all requests are booked on, logged with a PO and fulfilled in a timely manner. Devise and manage a smooth operation for Royal Enclosure badge requests for Fine Dining and Box guests for Royal Ascot Support the Ticketing and Retail Manager with the recruitment process for the Royal Ascot temporary team as well as supporting with their line management during their employment. Liaise with the suppliers of all badge/dispatch collateral managing deliveries and additional order requirements. Supporting with the new running of the Ascot Shop as and when required by the Ticketing and Retail Management Team. Along with the wider team, support the Front Office Supervisor by providing cover in their absence. Support the other members of Ticketing and Retail Team during busy periods with general admission requirements and enquiries. Provide customer services support in the run up to and during the Royal Meeting Attend and assist with all Ascot Racedays and Royal Ascot managing the Boxholders entrance and supporting the team with fine dining enquiries in Ticket Office East. Any other responsibilities that may be required of you on an ad-hoc basis.
