Reporting to the Canadian Segment Chief Risk Officer and Global Head of Financial Risk, the Executive Assistant will be responsible for providing administration to both functions and leaders to ensure the executives operate in a proficient manner. This role requires a high level of professionalism, confidentiality, maturity, and a positive attitude, with the ability to adapt and anticipate the executives' needs using discretion and judgment.
Position Responsibilities:
* Act as the key contact for the executives that you will be supporting.
* Independently manage and coordinate multiple calendars – reschedule conflicts, accommodate last-minute request – ensure executives are provided with meeting materials in a timely manner.
* Create and/or modify high-quality presentations and reports with an attention to detail using the Microsoft Office Suite.
* Review executives’ email to help address action items and delegate inquiries.
* Follow up on any agenda items or deliverables to ensure they are addressed in a timely manner/deadline.
* Make travel arrangements, both international and domestic.
* Ensure timely and accurate submission of expense reports.
* Organize meetings with OSFI, set up prep meetings for staff and coordinate materials for meetings.
* Organize meetings with direct reports – canvass for agenda items, post agenda on sharepoint site.
* Organize logistics for quarterly team meetings – help create meeting presentation, guest speaker, catering, IT support.
* Plan and execute social events for the teams.
* Keep email distribution lists, org charts and sharepoint sites up to date.
* Onboarding and offboarding staff/co-op students.
* Assisting team members with any inquiries.
Required Qualifications:
* College or relevant degree
* At least five-year’s experience as senior executive assistant
* Highly proficient with Microsoft Office Suite and presentation building
* Ability to be pro-active and think ahead.
* Strong verbal and written communication skills
* Strong time management and organization skills to manage multiple tasks and changing priorities.
* Maintain a high degree of discretion and confidentiality.
* Highly motivated and detail oriented
* Strong team player

Salary range is expected to be between: $53,775.00 CAD - $89,625.00 CAD
