Job summary As a Medicines Optimisation Administrator, you will be the first point of contact for the team, managing team mailboxes, responding to requests and queries, and handling telephone calls. You will regularly use Microsoft Teams and Skype for calls and meetings, and you will be responsible for word processing documents, letters, emails, minutes, and reports. You will ensure meeting rooms are booked as required, organise meetings for the team, and plan any necessary administrative work. You will produce and circulate agendas and papers for meetings, attend meetings to take brief notes or formal minutes, and update action logs. Main duties of the job Act as first administrative point of contact for the team/directorate, communicating relevant information to stakeholders, referring to others as appropriate. Manage team mailboxes, responding to requests and queries in a timely manner. Answer telephone calls, taking messages and passing on accurately to the relevant departments/person. Regularly using Microsoft Teams and Skype for telephone calls and meetings where appropriate. Word processing documents, letters, emails, minutes and reports when required. Post holder must have an advance level of keyboard skills and able to use Microsoft Office programmes including Word, Excel and Outlook. Ensure meeting rooms are booked as required for the team across NHS Devon sites Responsible for organising meetings for the team and planning any administrative work as required. Produce and circulate agendas and papers for meetings. Attend meetings where required to take brief notes, formal minutes or update action logs. Responsible for the maintenance of electronic and paper files on behalf of the department. Provide cross cover within own team and other teams during annual leave/sickness absences and busy periods.
