About the role
Balfour Beatty is looking for a proactive, detail-oriented Technical Administrator to join our team in supporting the ongoing delivery of our DBFO (Design, Build, Finance, Operate) projects. In this key role, you will be instrumental in ensuring smooth day-to-day operations across multiple administrative functions, from record-keeping and reporting to road space bookings and office management. This is an excellent opportunity to develop your administrative career in a fast-paced, results-driven environment with a leading company in the infrastructure sector.
What you'll be doing
General Administration Duties:
* Minutes and Meeting Support: Attend meetings, take detailed and accurate minutes.
* Document Management: Manage typing, photocopying, scanning, and filing of project documents, ensuring all records are accessible, and stored securely.
* Reception Cover: Provide reception support when needed and managing visitor access.
* Plan of the Day (POD) Coverage: Assist in managing the daily schedule and ensuring key team members are informed of priorities and operational tasks.
* Room Bookings: Coordinate internal and external conference room bookings.
Project Administration:
* Record Management: Manage and update key project records, including:
o Briefings & Inspections: Record and process documentation relating to safety briefings, inspections, and site visits.
o Driver & Vehicle Records: Maintain and update detailed records of project drivers and vehicle usage, ensuring compliance with guidelines.
o HSE (Health, Safety, Environmental) Records: Ensure HSE documentation is accurate, up-to-date, and stored in line with regulatory requirements.
* Report Production & Support: Assist in the creation and distribution of regular reports, including:
o HSE Reports: Monitor and report on health and safety statistics, incidents, and compliance.
o HE Reports: Support the production of Highway Engineering reports to track project progress.
o Road Reports: Document and update roadworks and traffic management activities, providing clear records for project and stakeholder review.
Road Space Management:
* Road Space Bookings: Work closely with route managers and technicians to process road space bookings for the A50 DBFO project, ensuring roadworks are coordinated with minimal disruption.
* Cross-Functional Coordination: Liaise with operations, network management teams to ensure all road space requirements are identified and booked.
* Regulatory Compliance: Ensure all road space bookings comply with local regulations and operational guidelines.
Depot & Office Support:
* Inventory Monitoring: Track stock levels of project-related equipment and office supplies, ensuring adequate stock is maintained.
* Procurement & Ordering: Work with the office manager to ensure that necessary equipment and supplies are available.
Additional Administrative Support:
* Payroll Cover: Provide cover for payroll duties during periods of annual leave, ensuring payroll processes continue smoothly.
* Office Management: Assist with general office management duties, including overseeing the smooth running of the office environment.

* IT Skills: Proficient in Microsoft Office (Word, Excel, Outlook), with experience in data entry and project management software. Knowledge of database systems or similar platforms is an advantage.
