Shield Foods and its Group Companies operate from a head office in West London. Its Seafood business, Shield Foods UK Ltd, is a leading gourmet seafood distributor in West London which has dynamic day-to-day operations. The group is seeking a highly motivated and energetic Executive Assistant & Office Manager to join our team. The successful candidate will play a pivotal role in providing comprehensive administrative support to all our businesses (including our property company) and its directors, ensuring efficient management of their day-to-day responsibilities. Key Responsibilities:
Executive Assistant Responsibilities:
* Manage an electronic diary, prioritising appointments and making adjustments as needed.
* Handle correspondence, including sorting incoming mail and delegating tasks to appropriate staff.
* Organise meetings and ensure the Director is well-prepared, including preparing agendas and meeting papers.
* Provide administrative support to executives, including managing calendars, scheduling meetings, and making travel arrangements.
* Screen calls, inquiries, and requests, handling them when appropriate.
* Respond to emails and requests promptly.
* Deal with correspondence, complaints, and queries.
* Upkeep of the Directors contacts and database.
* Prepare and edit documents, reports, and presentations.
* Conduct research and compile information as needed.
* Handle confidential information with discretion.
* Perform any other duties as reasonably required by the Directors and senior management.
Office Manager Responsibilities:
* Assist with office management tasks such as ordering supplies, coordinating maintenance requests, and managing office equipment.
* Answer phone calls professionally and direct them appropriately.
* Coordinate meeting room requirements, including IT, catering, and beverages.
* Organise meetings and manage office calendar & databases.
* Assist in coordinating company events and conferences.
* Process invoices and oversee office budgets.
* Ensure company records are up-to-date.
* Maintain a safe and presentable office environment at all times.
* Promote and manage meeting room, recreational space and office cleanliness.
* Set up desks and equipment for new starters.
* Perform any other duties as reasonably required.
Requirements:
* Bachelor's degree or equivalent education.
* Proven experience as a Personal / Executive Assistant at the senior management level.
* Highly preferred: previous Property Management/ Real Estate experience
* Excellent diary management.
* Exceptional interpersonal and communication skills
* Strong organisational and planning abilities.
* Outstanding attention to detail and accuracy.
* Proactive approach to work with the ability to prioritise tasks.
* Capability to work independently and take initiative.
* Discretion in handling sensitive information and maintaining confidentiality.
* Proficiency in Microsoft Office software, including Word, Excel, and PowerPoint.
Working Hours & Compensation:
* Monday to Friday, 9am to 6pm ONSITE
* Salary range: £28,000 - £32,000 per annum, depending on experience.
