Job summary
An opportunity has arisen for us to recruit a full-time Temporary Staffing Service Co-ordinator to join our Temporary Staffing Service on a permanent basis The successful applicant will provide a responsive and flexible staffing service to the Trust, ensuring staffing levels and skill mix are maintained in all departments and an excellent level of service is provided to staff and others.
The successful applicant will need to have a flexible approach to work and be able to demonstrate good team working and excellent customer service skills. The service is open from 8am to 5pm Monday - Friday (excluding bank holidays).
Applicants must be computer literate due to the number of systems simultaneously operated, have experience of data entry and extraction for reporting purposes, be able to deal with high volumes of calls and have excellent organisational skills to enable working to tight deadlines. Strong communication skills and a background in customer service is essential. Previous experience in an agency background and or temporary staffing would be advantageous. The successful applicant will gain a vast amount of experience in HR functions and systems as well as knowledge of multiple services around the Trust.

Act as a point of reference and support for answering queries or dealing with calls to or from staff or other bodies. To ensure staffing levels and skill mix are used to full effect in the delivery of services.

The Temporary staffing services provide a responsive flexible staffing service to the Trust, ensuring adequate staffing levels and skill mix are maintained in all services and departments, so as to promote the quality of service and avoid unnecessary expenditure on agency staff costs and overtime.
The Team currently provide temporary staffing provisions to all areas of inpatient services within the Trust and provide support Adult Mental health, Learning Disabilities, Mental Health Services for Older people and Children's services.

Administrative Responsibilities
6. Ensure that staff and others using the Temporary Staffing Service receive an excellent level of service. 7. Enter all Service specific Inductions onto the Bank Staff system and ESR within time limits to achieve standards and produce reports.
8. Diary management, typing of reports, photocopying documents, minute meetings, preparation of presentations and other general administration support and functions for the Temporary Staffing
Responsibility for Information & Information systems
9. Assists in the resolution of system related issues by investigating and identifying errors.
10. Ensures all standard operating process specific to the Temporary Staffing Service/Bank System are fully documented and adhered to
11. Ensures a good understanding of the clinical and corporate services and structures to better meet their staffing needs.
12. Manage the daily processing of information, ensuring that all information is processed accurately and timely using ESR (Employee Staff Record) system.
13. Will produce standard and ad hoc reports as and when required within agreed timescales whilst using knowledge of extracting and analysing information from the ESR (Employee Staff Record) system and the Bank Staff system using Excel spreadsheets. Includes training attendance reports, staff in post lists, shift fill rates, training compliance, and cross matching system reports for data quality and accuracy purposes
14. To ensure that data is processed and maintained in such a way that it meets Information Governance requirements
15. Processes, records and maintains service support documentation including training materials and user guides
Responsibility for Planning/Organising
16. Plans and prioritises own workload and makes adjustments as appropriate according to department workload.
17. Plans work activities and monitors progress to ensure delivery of key work objectives. This may include planning activities to be undertaken by others which may result in the need to change timescales to accommodate differing priorities and workloads.
Service Development, Project Management
18. To actively contribute to the development of the Temporary Staffing Service Administration Team; evaluates current ways of working, developing ideas, sharing knowledge and learning new skills, piloting and providing new areas of work and promoting the role of the Temporary Staffing Service as a central resource of the whole Trust, And takes agreed action to affect improvements
19. Contributes to the creation of a working environment that encourages reflective practice and the continuous improvement of services in the wider Trust Promotes the use of collaborative working with other departments to improve staffing levels across the Trust.

20. Educated to ECDL level or equivalent or willing to undertake qualification within agreed timescale.
