Main duties of the job
As trainee supervisor you will undergo training on all aspects of practice medical administration.
You will be supported in gaining/enhancing skills in team leadership.
Along with our other reception supervisors, you will be responsible for ensuring reception staff achieve their primary responsibilities/targets whilst maintaining a high quality of service for our patients.

Radcliffe Medical Practice is a large and busy GP practice seeking a Trainee reception supervisor to join our supportive and friendly team. As one of the longest serving GPs in Radcliffe, the practice has a list size of over 10,000 patients. The practice clinical Team consists of 2 GP Partners, 5 salaried GPs, a nurse practitioner, a paramedic practitioner, 2 practice nurses, 1 trainee practice nurse and 2 HCSW, all supported by our excellent administration team.

Job responsibilities
The following are the core responsibilities of the reception supervisorthat you will learn to undertake as a trainee supervisor. There may be onoccasion, a requirement to carry out other tasks; this will be dependent uponfactors such as workload and staffing levels.
The reception supervisor is responsible for:
Overseeing the reception servicesof the practice, ensuring staff achieve their primary responsibilities
Induction and training of all newstaff to agreed standards
Supervising all reception staff,supporting staff development, providing guidance and direction, ensuring staffare up to date with mandatory training
Identify and deliver teamtraining where required
Develop, implement and embedefficient reception processes and procedures to adhere to extant legislation
Manage all deliveries to thepractice, ensuring adherence to the cold chain policy as necessary
Act as a focal point forcommunication, advising reception and administrative staff on methods ofcommunication and best practice
Compiling reception staff rotas
Reviewing and updating allreception procedures as required
Oversee e-learning of allreception staff
Ensure adequate staffing levels,approve annual leave and organise rotas are ensuring all functions are coveredas required
Deal with more complex enquiriesfrom patients including informal complaints relating to reception functions
Continually assess and evaluatesystems and quality, recommending changes and improvements to the operationsmanager as appropriate
Manage day to day issues that mayarise within the team or with individuals
Reception Duties
Process and effectively signpost patients tothe appropriate healthcare professional, depending on the presenting condition
Answer incoming phone calls, transferringcalls or dealing with the callers requests appropriately
Process patient requests for appointments viafootfall and incoming phone calls
Providean excellent standard of customer service on the reception desk
Initiatecontact with, and respond to, requests from patients, team members and externalagencies
Enterread-code data on Emis Web
Data entry of new and temporary registrationsand relevant patient information as required
Input data into the patients healthcarerecords as necessary
Direct requests for information, SAR,insurance/solicitors letters and DVLA forms to the relevant administrativeteam
Maintain a clean, tidy, effective working areaat all times
Monitor and maintain the reception area andnoticeboards
Support all clinical staff with general tasksas requested
