Job Summary and Key Responsibilities:
To be the contact between our key client landlords and tenants for the duration of the tenancy, ensuring communication is kept to the highest degree. The individual would have at least 2 years in property management / lettings role and ideally be ARLA qualified.
Key Responsibilities:
* The role requires a unique blend of property management expertise, exceptional client service skills, and the ability to tailor services to meet the diverse needs of clients with multiple properties.
* Serve as the primary point of contact for key clients, ensuring open communication and understanding of their property management needs, building and maintaining strong relationships with clients to foster trust and satisfaction.
* Provide excellent levels of both telephone and written communication for the duration of the tenancy.
* Responsible for accepting and understanding tenants' maintenance requirements, providing a triage service to try to resolve issues.
* If unable to resolve, communicate this to the landlord with a solution to the problem and arrange works with a dedicated contractor.
* Update all parties on a regular basis by phone, email, or text.
* Make regular ‘well-being’ calls to the landlord at 3 monthly intervals.
* Work with the Lettings support team to ensure that all works are completed and invoiced within 21 days.
* Ensure that all mandatory compliance/legislation is in place on all properties; if not, ensure that company process has been followed.
* Work with the Property inspection clerks to ensure all properties have been inspected twice yearly and communicate with landlords and tenants in line with company policy.
* Place calls to all managed landlords and tenants 2 weeks prior to vacation to ensure they understand the check-out process and time frames.
* Deal with non-managed NDO deposits as stated above.
* Ensure the check-out process is followed and communication is sent out within company process.
* Work with team leaders, team managers, and branch network to understand the reason for any lost units.

* Ability to manage workload and prioritize effectively.
* Ability to work as part of a large team with 2 years practical experience and expertise in property management.
* Experience handling a portfolio of high net worth clients.
* Ability to handle complex portfolios and adapt to their individual needs and requirements.
* Ability to retain and grow the ATB and be customer-centric.
* Ability to support and develop individuals.
* ARLA/Propertymark Level 3 qualification in Lettings and Property Management (Pass grade required).
