P&B (Foods) Ltd, home of the Heera brand and one of the largest ethnic food wholesale distributors in the UK and Europe, is currently seeking an experienced, friendly, professional, and organised receptionist to join our growing team. The successful candidate will be the first point of contact for visitors, clients, and customers and will provide a welcoming and efficient service both in person and by telephone. This is a varied role requiring flexibility and a proactive approach. You will need to be willing to adapt to changing priorities.
Key Responsibilities:
Office Administration
* Perform reception duties, including answering phone calls, greeting visitors, and providing hospitality.
* Manage incoming calls, take messages, and redirect calls to the appropriate departments.
* Manage and maintain the reception area, ensuring it is clean and presentable.
* Sign in visitors and supply them with visitor badges.
* Provide general administrative support to various departments as needed.
Customer and Supplier Support
* Act as a point of contact for customers and suppliers, addressing inquiries and resolving issues where possible.
* Assist with complaints and non-conformances, ensuring timely follow-up. This includes writing complaints & non-conformances, drafting refund letters, liaising with customers & suppliers where required. The company aims to contact all complainants within 24 hours of receiving their complaint. (Making contact is not the same as resolving a complaint.)
* Update and maintain supplier product specifications and associated spreadsheets, ensuring amendments are communicated effectively.
* Respond to service requests for product specifications, accreditation certificate requests (ISO certificate), and other general information that does not require further technical/management input.
Data Management
* Input and manage Eurofins sampling results and other data accurately.
* Update and maintain specifications for customers and sales representatives.
* Correctly file and save documentation from suppliers (reports, test certificates, specifications, etc.) using the correct dating format (month-date-year).
* Maintain supplier spreadsheets and chase up out-of-date documentation from them (e.g., BRC certificates).
* Ensure all documentation is organised and up-to-date.
Quality Assurance (QA) Support
* Assist with QA administration tasks, including data input and documentation (e.g., saving training records, updating training matrix, and saving other necessary documents).
* Submit food samples to food laboratories.
* Support other departments with administrative tasks as required.
Additional Responsibilities
* As part of the role, you will also assist with making tea and coffee for the directors when required.

Skills Required
* Previous experience as a receptionist or in a similar administrative role.
* Good IT skills with experience using computer systems to input data accurately.
* Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
* The ability to multitask and prioritise workloads to meet deadlines.
* Excellent administration and organisational skills.
* Good written and verbal communication skills.
* A commitment to providing quality service.
* Ability to work in a team and adapt to business needs.
Working Hours
* Monday to Friday, 9am to 5pm
