We are seeking a proactive and highly motivated Legal Secretary to join our thriving legal team. The successful candidate will not only provide exceptional administrative support but also demonstrate initiative, problem-solving skills, and a willingness to take ownership of their work.
Key Responsibilities:
Proactive Client Support:
1. Greet and welcome clients warmly, ensuring a positive first impression.
2. Handle client enquiries efficiently and effectively, building strong client relationships.
3. Manage reception, meeting rooms, and provide refreshments.
Streamlining Operations:
1. Streamline administrative processes, identifying areas for improvement and implementing efficient solutions.
2. Proactively manage fee-earner diaries, ensuring schedules are optimised and appointments are effectively coordinated.
3. Manage reception and office supplies as needed.
High-Quality Support:
1. Prepare accurate and professional legal documents, including letters, reports, and bundles.
2. Maintain meticulous records and ensure all files are accurately and securely managed.
3. Deal with incoming/outgoing post including going to the post office and/or Court.
4. Prepare invoices and take payments.
Teamwork & Collaboration:
1. Collaborate effectively with legal professionals and colleagues across departments.
2. Share knowledge and best practices within the team.
Initiative & Problem-Solving:
1. Identify and resolve administrative challenges independently.
2. Proactively seek solutions to improve efficiency and workflow within the department.
Essential Skills & Experience:
1. Proven experience as a Legal Secretary or in a similar administrative role within a law firm.
2. Excellent communication and interpersonal skills with a strong client focus.
3. Highly organised and efficient with strong time-management and prioritisation skills.
4. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
5. Meticulous attention to detail and a high level of accuracy.
6. A proactive and results-oriented approach to work.
7. Ability to work independently and as part of a high-performing team.
Desirable Skills & Experience:
1. Experience with legal case management software.
2. Knowledge of legal terminology and procedures.
3. Experience working in a fast-paced and demanding environment.
