Ferguson Transport & Shipping are currently recruiting for an Office Planner & Administrator to work within their Maintenance Facility Office, based at Corpach, Fort William.
The ideal candidate must be self motivated, organised, flexible and a good communicator. Team working is essential as well as working on their own initiative.
Duties will include:
1. Planning weekly inspections/service visits to the workshop for the fleet (Units, trailers, plant, cars, vans) and liaising directly with traffic office
2. Book in vehicles and input job cards into the Accelerator system
3. Create daily/backshift/weekend schedules
4. Taking phone calls and entering provisional service bookings
5. Liaise between drivers either on the phone or at the workshop reception
6. Liaise with other workshop members including managers, mechanics and stores personnel
7. Assist with service/warranty bookings (Scania / Volvo)
8. Assist with breakdown management, contractors and Mandata
9. Checking and filing defect sheets ensuring all drivers are completing defect sheets
10. Tyre stock reconciliation / wheels off
11. Entering details of productive hours from job sheet to electronic inspection records
12. Assisting with meeting and greeting all visitors on site including visitor inductions, when required
13. Deal with external customers, book in 3rd party contract or ad-hoc work, when required
14. General clerical duties to include filing / photocopying / stationary audits / first aid audits etc.
