An exciting opportunity has arisen to join Scotfast Ltd as we continue our growth. The role is to join our Office and Operations team as an Office Coordinator reporting directly to the Projects team.
The candidate should be able to work in a fast-paced environment and can absorb new information quickly. Methodical. Process driven. Good attention to detail. Ability to stay focused on a task. The candidate will be working on various tasks across the business, assisting in administrative duties and activities.
We are a fast growing and established company within the Contracting industry, ScotFast is a specialist company, carrying out Fencing, Forestry services, Fabrication and Minor Civils works across the UK, for UK and global clients. A key part of our office operation is to assist and support the wider team and Scotfast Haulage, our haulage company.
Key Responsibilities
Providing Operational support for Scotfast and Scotfast Haulage, tasks include but not limited to the following.
* · Carrying out administrative tasks for Managers, including communicating updates.
* Processing timesheets and staff requests.
* Book travel and accommodation.
* Maintain up-to-date internal registers and action tasks as required, inclusive of but not limited to: contacts list, PAT testing; plant and vehicle registers; defect registers
* Maintain up-to-date training requirements, including bookings.
* Ensure sufficient supply of office stock
* Maintain up-to-date Tracking systems, internal apps and staff portals
* Prepare purchase orders, check accuracy of orders received and file appropriately.
* Recruit and onboard new team members.
* Assisting and maintaining auditing programs, including processes and procedures activities to ensure that the organisation remains compliant with all aspects of its regulatory approvals and standards.
* Assisting and maintaining accreditation requirements, including processes and procedures
* Data Management – assist with HR Admin & H&S documentation – keeping all paperwork up to date
* Administration management for Scotfast Haulage, including bookings and compliance.
Attributes and experience required for this role:
* A core knowledge of Microsoft 365
* Experience or an understanding of NHSS, ISO 9001, 14001 and 45001 Management Systems would be a benefit.
* A positive attitude and a desire to get things done. The candidate should be conscientious, industrious, and willing to apply themselves to a task.
* Have an interest in working with a fast-paced small business.
* You will have skills that include attention to detail, organisation, communication and relationship building.
* Experience working within an administrative role.
* A desire to learn, grow and succeed.
Job Types: Full-time, Permanent
Pay: £26,000.00-£28,000.00 per year
