Reception Administrator – Saint Catherine’s
At Saint Catherine’s, we provide care, compassion, and support for individuals and families at challenging times. We believe this should start from when you first walk in the door so we are looking for a calm, friendly Receptionist Administrator to join our team. The role will cover four days, Monday, Tuesday, Thursday and Friday 8.30-4.30.
The Role
As Reception Administrator you will help ensure the smooth and safe management of our patient and family care by providing a confidential and precise reception, administration, and clerical role. You will be the first point of contact in welcoming and answering patient/visitor queries to the Wellbeing Centre and Inpatient Unit and will support our Volunteers. You will also provide a key role in coordinating our education services for professionals.
Key Responsibilities:
* Welcome patients and visitors to the Wellbeing Centre and Inpatient Unit and show them how to register their arrival, inform the clinician / counsellor of their arrival.
* Ensure the Reception area, waiting areas, Wellbeing rooms and visitors’ toilets are clean and tidy, and liaise with the Housekeeping Team, if required, to report any requirements for cleaning.
* Liaise with the catering team and IT to facilitate support for large meetings and conferences.
* Deal with any parcels and deliveries.
* Manage incoming calls and maintenance walkie-talkie system as required.
* Answer the telephone and convey messages to appropriate staff and patients, documenting information in accordance with record keeping standards.
* Ensure information related to the personal safety of patients is communicated immediately to the appropriate Clinician or Manager.
* Enter patient details as needed onto System 1 (patient database), taking responsibility for the quality and accuracy of the data, and reporting any arising issues around quality to the Information Governance Manager.
* Deal sensitively with bereaved relatives.
* Maintain electronic patient notes and clinic lists for attendees at the Wellbeing Centre.
* Create and send appointment letters and reminder texts.
* Process incoming and out-going post.
* Check and maintain adequate levels of stationery and information leaflets and carry out photocopying.
* Liaise with other teams regarding any jobs for the volunteers.
* Support the volunteer receptionists.
* Support our Education centre by registering course bookings and handling inquiries
* Other duties as required
About You
We are looking for someone who is not only friendly and enthusiastic but calm and professional but also thrives in a people-focused role. You will be confident handling queries into the hospice and sensitive when speaking with patients and family members.
Requirements:
* Excellent standard of written and oral English and a good level of general education.
* Highly organised administrator with the ability to manage your time and priorities effectively.
* Able to supervise volunteers and coordinate team workloads.
* Well-developed interpersonal skills, with the ability to communicate effectively and sensitively with distressed patients and their families and colleagues.
* Excellent IT skills, competent in using a number of software packages: Excel, Word, Outlook.
* Understanding of a commitment to confidentiality.
