Patient Experience Team Personal Assistant/Administrator
To provide comprehensive Personal Assistant/Admin support to the Patient Experience Team, ensuring the team receives the necessary support for smooth operations.
The Patient Experience team plays a pivotal role in the Trust's reputation, with numerous survey data received and analyzed weekly. The Personal Assistant role is vital, as they, alongside the Patient Experience Facilitator, will hold the principal responsibility for the safe collection of this data and administration of respective databases. They will disseminate data and themes to the wider organization and support subsequent actions to drive improved patient experience using the 'You Said, We Did' concept.
The Patient Experience Personal Assistant will provide administrative and secretarial support to oversee the smooth running of the team's community engagement work, Patient Experience conferences, forums, training, networking events, and health education programs. They will also be integral to the running of our successful volunteer Patient Leadership program, which is constantly evolving and creating new opportunities across the Trust.
Main Duties of the Job
1. Coordinate, monitor, and assist with patient experience activities across the Trust.
2. Work with data to produce reports and graphs; disseminate results to the wider organization.
3. Take minutes at meetings and provide action logs.
4. Liaise with all staff involved in data collection, analysis, action planning, and offer training regarding report writing on the database system.
5. Work closely with the Associate Chief Nurse, planning diary bookings and organizing meetings.
6. Maintain a robust administrative system.
7. Support all team members to ensure effective operation.
8. Provide P/A support in the absence of a colleague or during peaks in workload.
9. Prepare agendas and take and transcribe minutes of specified Trust committees.

Person Specification
Education/Qualifications and Training
* Good general education level or equivalent knowledge and skills gained through any combination of study, employment, or voluntary work.
* Degree level education.
Experience
* In-depth experience of working as a personal assistant with a good knowledge of secretarial procedures and detailed IT systems.
* Experience of working in a complex organizational environment, either in the NHS, elsewhere in the public sector, or in a private or voluntary sector organization.
